Description

Position Summary:

The HR Admin Assistant provides general and administrative human resources support to all business entities. This position will facilitate daily HR functions such as keeping track of employee records and supporting the hiring, payroll and billing processes.

 

Schedule: Monday through Friday, 8am to 5pm

 

Essential Duties and Responsibilities: (Other duties may be assigned)

  • Supports Payroll Specialist with personnel and payroll information changes including promotions, transfers, terminations, and new hires.
  • Maintains accurate and up-to-date human resource files, records, and documentation (physical and digital); Maintains accuracy of HRIS.
  • Onboards all new hires into HR systems including Paylocity, FileTrail and related Excel documents.
  • Performs customer service functions by answering employee requests and questions or redirecting as needed.
  • Provides payroll support including reviewing timecard data and correcting errors to ensure accuracy.
  • Schedules meetings, orientations and interviews as requested by the HR team.
  • Copies, faxes, mails, scans and emails documents; Performs other clerical functions.
  • Assists or prepares correspondence as requested.
  • Provides monthly benefit tracking and invoicing support including data entry and invoice creation.
  • Assigns online training to employees as requested.
  • Assists with and participates in monthly Safety Committee meetings.
  • Supports HR department with benefits changes during open enrollment each year.
  • Notifies managers of upcoming employee birthday and anniversaries and distribute cards to employees.
  • Completes EEO1 reporting under supervision.
  • Requests driving records and insurance documents from applicable employees each year.
  • Processes unemployment paperwork under supervision.
  • Abides by HR processes, policies and current employment laws and regulations.
  • Assists with additional payroll and HR projects as assigned.
 
Position Requirements

Education and Experience:

  • 2 years of administrative experience required; 1+ years of human resources experience preferred.
  • Bachelor’s degree in human resources, business, or related field preferred.
  • Proficient in Microsoft Suite; Advance Excel proficiency preferred.
  • Strong ability to keep information confidential at all times.
  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize workload, multi-task and work under pressure in a fast-paced environment.
  • Excellent oral, written, and presentation skills necessary to communicate and work effectively with management and co-workers.
  • Ability to understand and follow written and oral directions.
  • Ability to establish and maintain effective working relationships with strong customer service skills.
  • Ability to take initiative to complete projects, tasks and assignments.
