Description

JOB PURPOSE:

Ensure the prompt and accurate production and/or processing of all account receivable accounts, program invoices, respective relevant reports, records and documentation. Maintain and reconcile designated schedules and general ledger accounts.

 

ESSENTIAL JOB RESPONSIBILITIES:

  • Review all invoices prior to submission to program for approval.
  • At month end, review all program revenue for reasonableness. Suggest necessary accruals for entry into Sage
  • Prepare and maintain timely and accurate accounts receivable by reviewing, coding, and posting all invoices based on budget categories.
  • Responsible for accuracy of A/R aging. Research and follow up on open items. Suggest adjustments for errors or uncollectible amounts
  • Prepare grant billings as assigned
  • Review invoicing procedure and suggest improvements
  • Review expected margins on individual grants. Research significant variations from target margins.
  • Assist in establishing processes to comply with grantor’s reporting and allowability requirements
  • Be responsible for accurate and timely month end close procedures for key balance sheet and income statement accounts (including preparing journal entries, accounts reconciliations, and performing margin analyses as deemed necessary) in all areas of revenue. Review reconciliations and promptly suggest account adjustments as necessary.
  • Produce routine and periodic reports as required/requested
  • Communicate with program directors and other team members about on-going program process
  • Support program directors and other team members with various analysis and ad hoc projects
  • Assist CFO, Director of Finance and Controller and other leadership as needed
  • Assist in balancing the invoicing workload and make recommendations to the Controller on invoice preparation assignments
  • Prepare and assist in annual audit and various monitoring reviews conducted by funders throughout the year.
  • Maintain confidentiality of all accounting information and comply with internal control policies.

Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: Bachelor’s degree in Accounting required.

EXPERIENCE: 3-5 years accounts receivable experience, 7 years preferred; 3-5 years’ experience with nonprofit accounting preferred, Sage Intacct a plus. 5-7 years general ledger experience preferred. 2-3 years in a customer service focused environment.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

 

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

 

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to vendors, clients served, staff and the general public.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Working knowledge of MS Office, intermediate to advanced level Excel, Access. Knowledge of accounting software programs. Exposure to multiple location, nonprofit, grant/cost accounting a plus, Sage Intacct a plus; 50 WPM, 95% data entry accuracy.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

FINANCIAL: 10-key by touch. Strong math skills; making calculations; working with budgets; analyzing grant and funding budgets and reports. Advanced excel skills including vlookup, sumifs, index/match.

TECHNICAL: Knowledge of Generally Accepted Accounting Procedures (GAAP) and Generally Accepted Government Accounting Standards (GAGAS).
