Description

JOB PURPOSE:

The Accounts Payable Supervisor will oversee an accounts payable team, direct the processing of invoices and payments, and manage expense accounts and budget reports.

 

ESSENTIAL JOB RESPONSIBILITIES:

Supervisory Responsibilities

  • Train and oversees accounts payable employees.
  • Direct assigned tasks and provide assistance as needed.
  • Assist with performance evaluations.

Duties and Responsibilities

  • Ensure correct payments are made in a timely manner.
  • Review all invoices in payment batch for accuracy and completeness.
  • Upload payment detail to bank.
  • Ensure vendor files are properly maintained including verification of ACH bank information and W-9’s have been collected and properly recorded for all vendors.
  • Develop guidelines for proper handling and coding of invoices to maintain accurate general ledger balances.
  • Review and update current processes as needed. Ensure proper controls are established and enforced.
  • Prepare account reconciliations as assigned.
  • Work to resolution vendor questions/issues.
  • Prepare reports as requested.
  • Ensure proper storage of records in case of audit.
  • Prepare and submit 1099’s annually.
  • Perform other duties as assigned.

Participate in audits conducted by funding sources. Produce relevant data, reports and backup documentation.

Solicit program staff assistance as needed.

Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School or equivalent reading and writing skills. Associates Degree in Accounting preferred.

EXPERIENCE: 1-3 years accounts payable experience, 3-5 years preferred; 2-3 years in a heavy accounts payable environment; non-profit experience a plus. Form 1099 reporting experience required.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

 

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

 

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to parents, school personnel, licensing, staff and the general public. Ability to make oral presentations.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Proficient knowledge of Word, Excel, Publisher, Access; PowerPoint a plus.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

FINANCIAL: Strong math skills, 10key by touch, proof reading skills.

ORGANIZATION: Ability to plan ahead several months to a year. Ability to keep various on-going projects organized and files maintained accurately. Above normal levels of concentration and memory required. Requires good time management practices and the ability to meet multiple deadlines.

SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.
