The Arc supports people with intellectual and developmental disabilities to create lives that mirror yours and mine: students attending neighborhood schools, adults going to work and living in their own homes, and individuals enjoying the social and recreational opportunities in their communities. We are a private, non-profit local chapter of The Arc of Maryland and The Arc of The United States, the largest volunteer organization in the world devoted exclusively to improving the quality of life for all adults and children with developmental disabilities.

Description

Position Summary:

The House Supervisor is responsible for the oversight of their assigned house within the Community Living department, the supervision of the house staff, providing direct support to the staff and individuals within those houses or areas and the coordination of services and aspects of the individuals’ lives in their house.

Position Responsibilities:

In a manner consistent with supporting The Arc NCR Mission Statement the House Supervisor, Community Living, I shall do the following:

Quality Team Members

  • Attend and participate in monthly career fair for vacancies within the home.
  • Interview applicants who apply via website or outside of the career fair.
  • Participate in mediation meetings with DSP’s and HR Manager.
  • Complete termination meetings/calls with HR Manager as necessary.
  • Review staff training deadlines with staff to ensure they avoid suspension.
  • Review Safety Alerts from HR and ensure staff sign and complete needed trainings.
  • Review GPS Alerts from Transportation and schedule staff to come in for corrective action.
  • Review authorized CMT list monthly to ensure staff are approved to administer medications. Follow up with HR and/or Dimensional for clarification if necessary.
  • Meet new staff during orientation week during lunch on Monday.
  • Ensure Peer Training schedules are submitted to HR during the week of orientation.

Quality Supports

  • Respond to QE house reviews by the deadline given
  • Ensure medication errors are completed for the Dimensional on-call log by Friday.
  • Participate in QE investigations and schedule staff for meetings.
  • Ensure staff are documenting all incidents in ICM within 24 hours.
  • Schedule and/or complete new staff training on IP’s in the homes.
  • Attend nursing 45-day reviews in homes
  • Complete 45-day review responses for homes within 2 weeks after they are received.
  • Run medical appointments as necessary.
  • Ensure RMA’s are filed correctly in the medical books
  • Ensure emergency packets are up to date and available.
  • Review PMOF book in home to make sure that current PMOF and/or scripts are available.
  • Ensure medications are being picked up from the office daily.
  • Confirm same day delivery of medications from pharmacy for hospital discharges.

Financial Excellence

  • Review and sign off on all grocery receipts, PUF receipts (weekly, monthly and special requests) to ensure funds were used appropriately.
  • Assist with spending of start-up funds for new individuals.
  • Review monthly report for Benefit Manager to ensure that individuals who exceed $2,000 are spend down prior to the end of each month.
  • Work with Benefits Manager to ensure that individuals attend Housing or SSA appointments.
  • Ensure Activity Plans are submitted at least two weeks in advance for planned activity and 30 days in advance for any vacations and proper documentation is attached.

Other job duties:

  • 24/7 On call responsibilities from individuals, families and staff.
  • Handle staff call outs and coverage
  • Cover shifts as needed.
  • Hold monthly team meetings and supervisions with staff that need additional support.
  • Shadow/observe, coach and give feedback to DSP’s while visiting homes. This includes reviewing start/end of shift, administering medications, morning/evening routines, etc.
  • Review communication book to ensure proper documentation and initial.
  • Attend Frontline Supervisor Training.
  • Attend Leadership meeting monthly.
  • Timely response to emails from HR, Finance, QE, Psych, Development, DSP’s and their AD/Director throughout the day.
  • Complete weekly house schedules and submit to HR Assistant by Thursday at 12 p.m.
  • Review IP books to ensure IP’s are present and 3 months of data is available.
  • Ensure all staff are trained on new IP’s within 20 days after the IP meeting. Submit Signatures to Case Coordinator.
  • Attend individual Pre-IP meeting as necessary.
  • Approve NOVAtime daily.
  • Review ICM daily for task completion, medication errors, etc.
  • Verify medications in ICM.
  • Communicate with the Program Manager via text of any urgent care visits, hospitalizations, vehicle accidents, major staffing issues or concerns and police, fire or ambulance involvement or any calls to 911.
  • Handle situations outside of the everyday “norm”.
  • Work with day program staff (Arc/Harford Center) when individuals need to come home due to health or behavioral issues.
