Event Manager - Design 

Location Bold Catering & Design - Design  

The Event Manager is the floral & production crew manager for on-site install and dismantles. He/she guarantees the quality, execution, and conformity of our event designs.

Pre-Event Responsibilities:

  • Read Proposals and RFPs/pull lists to understand event elements
  • Attend pre-con meetings.
  • Make sure to have all necessary information for event with invoices, proposals, phone numbers, directions, etc.
  • EM must pull all the items from Warehouse and are responsible to check for repairs, paint quality, clean up and wrap items before it goes out to supervisor quality control and ultimately the venue.
  • EM must have their direct supervisor Production Manager approve of the pull items, their good conditions and sign off to be sent off site for execution.
  • Sign out Toolkit and make sure toolkit is complete- Toolkit is your Responsibility.

Day of Event Responsibilities:

Before Event:

  • Meet staff at warehouse day of event to:
    • -Load truck (GAS demand must have been checked by supervisor)
    • -Double check to make sure all equipment is accounted for
    • -Liaison with floral lead
    • -Check in event staff
  • Have a strategy briefing with crew to delegate on-site jobs and responsibilities to crew, present the event, main players, venue specifics and strategic informations relating to the event.
  • Ensure all staff have directions to event site and know where to park and where to meet to unload the truck
  • Contact Operations or Production Manager to confirm unloading and item placement, issues and eventual problems, confirm job completion and strike status.

Installation of Event:

  • Once at the venue, EM must check in with venue and do a quick inspection of the event space to familiarize the staff with layout, floor plan, basic install instructions and damage areas-floors, walls, lights, etc and report to venue manager.
  • Manage crew for install, keeping to the I&D schedule assigned by the Event Coordinator.
  • Work and build relationships with venue, client, planner, designer and other vendors that may be working at the event.
  • Maintain an excellent customer service, Promote a go above and beyond attitude.
  • If problems arise, call the Event Coordinator and Production manager to find a solution, find the proper solutions and communicate efficiently about corrective actions.
  • Must be always conscious about labor budget. Will release staff if not needed or finished early, must manage the workload with the allocated workforce and time.
  • Once installation/flip is complete, check out crew and dismiss them. Confirm strike and operational details with venue manager and client before leaving the event site, make sure that the items installed are all in good condition, all paint touch ups being done, mirrors and glass cleaned, trashed been picked up and venue is clean and that the designer is 100% satisfied.

Dismantle of Event

  • Meet strike crew at the warehouse.
  • Check in all employees for strike shift, including temps.
  • At Venue- Assign one person to bag & tag linens properly, verify that task during the strike.
  • Make sure all equipment is properly packed, wrapped and put on truck, promote safety and equipment preservation
  • Make sure strike is completed in the allotted time
  • Write an event recap and leave in the event manager book
  • Once strike is complete, walk through with the venue contact and have them sign the venue sign sheet
  • Make sure truck is properly locked in cage at warehouse and that keys are placed back in the office. Check lights, lock doors, lock back.
  • Place the event manager book on Production Managers desk with completed documents
  • Make sure warehouse is properly secured and the alarm has been set before leaving for the night
  • Sign in Toolkit and report any losses and fill up again.

Position Requirements
  • 2+ year/s of experience in event management
  • Good leadership skills
  • Dependable, reliable multi-tasker
  • Self Motivated, autonomous, goal driven manager
  • Attention to details,accountable and organized
  • Team leader, trainer,
  • Positive attitude, can do attitude,
  • Must have previous event experience, hospitality background prefered
  • Good problem solver, resourceful , team player
