GENERAL DESCRIPTION:

The Administrative Assistant I provides administrative support to the Manager of Administrative Services.

MAJOR RESPONSIBILITIES:

  1. Answer multi-line phone system. Gives accurate and pertinent information to callers.
  2. Greets staff, clients, and visitors upon arrival and departure from the office. Gives courteous attention.
  3. Keeps office areas neat and organized. Maintain clean, inviting space for visitors.
  4. Receives and distributes all mail, packages, and deliveries.
  5. Prepares packages for delivery via Fed-Ex.
  6. Coordinate transfer and disposal of records as per the retention schedule and ensure policies are carried out effectively.
  7. Schedule and communicate appointments and meetings as requested.
  8. Monitor and maintain office & cleaning supplies inventory.
  9. Help maintain all copies; change toner, clear jams, and provide basic support.
  10. Maintain and order supplies for the mail meter machine.
  11. Maintain the extension list and center list for the agency.
  12. Assists in the coordination of office-related contracts and services involving maintenance and repairs, janitorial services, copy machines, mailing equipment, etc.
  13. Release online website orders and prepare corresponding purchase orders.
  14. Assist with the organization and implementation of special events, trainings & meetings.
  15. Assist applicants/clients with paperwork prior to scheduled interview or Live Scan appointment.
  16. Develop visual and audio presentation materials as requested.
  17. Screens calls for CEO in absence of Executive Assistant.
  18. Order food for events and meetings.
  19. Coordinate monthly recognitions for staff (birthday cards, well wishes, random appreciation items, etc.).

Position Requirements

EDUCATION AND EXPERIENCE:

  • Associates degree with 1-3 years related experience preferred

SKILLS, KNOWLEDGE, AND ABILITIES:

  • Excellent people skills and ability to work well with a broad range of people
  • Ability to answer multi-line phone system in a pleasant manner and direct phone calls accordingly
  • Ability to build and establish collaborative relationships
  • Ability to work with the public in a tactful and professional manner
  • Ability to exercise good judgment and emotional maturity
  • Knowledge of Microsoft Office products
  • Ability to communicate effectively both orally and in writing
  • Ability to maintain confidential information
  • Ability to plan and organize work as well as maintain records and prepare reports
  • Ability to multi-task, prioritize and work in fast-paced environment
  • Ability to work independently with minimal direct supervision

ENVIRONMENTAL CONDITIONS:

  • Works in an office environment

ESSENTIAL PHYSICAL SKILLS:

  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without correction)
  • Ability to communicate both orally and in writing
  • Ability to lift up to 50 lbs.
