POSITION SUMMARY
This position serves as administrative support performing a variety of clerical and administrative duties for the Director of Trauma Program services and/or designee. The incumbent will act with independence in the performance of many duties and performs office activities which otherwise require the attention of the Director. The incumbent will maintain trauma registry according to the guidelines of the Arizona Department of Health Services and American College of Surgeons. Incumbent is responsible for the overall collection and retention of pertinent data concerning trauma patients and assists with monitoring of Performance Improvement indicators and generating reports. Also participates in special and ongoing projects to ensure that goals and objectives are being met to achieve maximum efficient outcomes, answering routine and non-routine correspondence with internal contacts of the organization.
ESSENTIAL FUNCTIONS:
- Identifies, collects, analyze and interprets injury information for review while maintaining confidentiality and security of patient data at all times. Requests appropriate information from the Health Information Management department (HIM).
- Collecting registry information by abstracting, compiling, interpreting confidential data from patient records and financial reports. Identifies/verifies appropriate patients meeting inclusion criteria, including re-admissions resulting from traumatic injury, for entry into the trauma database/registry.
- Abstracts core data, involving all phases of trauma care, from the medical record, according to established guidelines, utilizing the Trauma Program Director as consultants.
- Interacts with other areas e.g. software manufacturer, EMS companies, nursing units, etc., to ensure accurate data collection. Accurately enters data into the state trauma registry via computer. Classifies and stores data in such a way as to make it easily retrievable.
- Produces a daily list of trauma patients and enters trauma data into the database including coding of patient’s injuries and procedures. Reviews and utilizes National Trauma Data Standards, AIS, ISS, and ICD coding for inter rater reliability.
- Assists with trending of indicators. Prepares routine and special reports which summarizes trauma. Submits reports for the Trauma Program services and its constituents and keeps TCRHCC complaint with Trauma designation and/or verification.
- Keeps informed of state and national trends with data collection and monitors state regulations for trauma registry.
- Identifies and recommends modifications in the registry to the Trauma Program Director, making modifications as approved. Collects statistical data and assists in Trauma Performance Improvement projects and provides reports.
- Prepares/participates in preparation for TCRHCC designation and/or verification site visits.
- Participates in trauma team activities as assigned. Represents TCRHCC at trauma meetings and conferences. May act as a liaison with other departments and outside agencies. Assists in Trauma education and orientation. Assists with implementation of new processes.
- Schedules and organizes complex activities such as meetings, taking minutes for Trauma department meetings, travel, educational training, conferences, and activities. Maintains Unit and Hospital Competency.
- Establishes, develops, maintains, and easy retrievable filing system. Retrieves information as needed. Organizes and prioritizes information and calls. Sorts and distributes mail. Drafts responses or replies by phone or e-mail when necessary and responds to regularly occurring requests for information.
- Types and designs general correspondences, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes; responsible for accuracy and clarity of final copy.
- Orders Trauma department equipment and supplies. Collaborates with Procurement Department as necessary.
- Collaborates with TCRHCC constituents in assisting with community awareness, outreach, and injury prevention actives.
- Ensure proper PPE is worn at all times while on duty including but not limited to, face mask, gloves, gown, isolation gown, NIOSH-approved N95 filtering facepiece respirator or higher (if available), and eye or face shield.
- Complete all donning and doffing tasks in a safe acceptable method and discard of used PPE accordingly. (see CDC website for most current updates)
- Complete task training for all routine cleaning and decontamination processes for all surfaces contaminated by a communicable disease to ensure a high level of patient, visitor, employee and external customer satisfaction
- Performs other duties and special projects as departmental or hospital needs assigned or required.

Physical:
Work is mostly sedentary, must be able to sit for prolong periods of time with frequently reaching with hands and arms. Must be able to stand, walk, push/pull, stoop, kneel, crouch, or crawl infrequently as needed. Position requires prolonged ability to talk or hear; and, use hands to finger, handle, or fee. Position does require the ability to lift using proper body mechanics up to 50 pounds. The work requires the ability to carry items such as charts, books, papers, and related documents or files. Must be able to utilize close, distance, peripheral vision, with depth perception, and the ability to adjust focus. Position requires prolong repetitive motion actions in both hands with simple/light grasping. Intermittent repetitive motion actions both hands with firm/heavy grasping and fine dexterity. Must be able to hear alarms on equipment, hear client calls, hear instruction from physicians/department staff; and, hear overhead pages/calls. Ability to manage and prioritize multiple competing tasks and demands while meeting deadlines.
Mental:
Must be able to prioritize and use good judgment. Must be able to coordinate a variety of issues with intermittent interruptions.
Work Environment:
This position typically works in an environmental controlled indoor sedentary setting with rare intermittent need to work in outdoor weather conditions. The noise level is typically moderate level
