Overview

The Assistant General Manager has direct responsibility of assisting the General Manager (GM) with directing the day to day operations of the Museum and Retail Store to include the online store and satellite retail outlets.

Essential Functions

Operational Management

  • Work with Facility Maintenance to ensure the Museum and Store are ready for business (i.e. restrooms are clean, trash has been removed, audio and video are operational, etc.).
  • Consistently create a welcoming environment for tour guests and customers by greeting and assisting; as well as quickly responding to their inquiries and needs.
  • Provide a high level of customer service to tour guests and customers as well as resolve complaints and concerns.
  • Assist with cashiering as needed.
  • Stay abreast of special offers, discounts, promotions and special events.
  • Maintain visitor guest book and comment cards.
  • Regularly communicate with GM to discuss strengths, opportunities and trends in business.
  • Ensure company standards are always met for the Museum and Store, including dress code standards.
  • Manage opening and closing procedures.
  • Communicate POS issues to the GM and troubleshoot problems.
  • Serve as a liaison with the Fund Development and Membership Department.

 

Staff Management

  • Assist GM with providing a strong leadership presence, while ensuring that all tour guests and customers receive an exceptional experience.
  • Help GM identify training needs and provide ongoing training opportunities to the team as needed.
  • Direct and supervise staff ensuring tour guests and customers are being helped in a timely manner.
  • Demonstrate desired behaviors of staff including driving ticket and retail sales, handling difficult and/or complicated POS transactions, cash management, and follow-up with tour guests and customers.
  • Assist in employee recruitment and conduct staff training.
  • Leverage individual staff strengths and creates developmental plans to prepare all level positions for future growth within the organization.
  • Help GM in delivering consistent, in the moment, feedback and coaching.
  • Write weekly schedules, as needed, to ensure proper coverage.
  • Prioritize, plan and adjust schedules as necessary to maximize sales.
  • Develop and execute a volunteer program that includes incentives for performance.

Museum Services

  • Review group tours schedule and verify accuracy with Group Tours Department.
  • Provide guided tours as needed.
  • Maintain lost and found items for 30 days.
  • Maintain visitor guest book and comment cards.

Retail Operations

  • Ensures all pricing, signage and displays are always correct.
  • Assist GM with store promotions and event preparations.
  • Responsible for maintaining merchandise levels and conducting regular physical inventory counts at all retail locations.
  • Receive and verify count of all store merchandise and supplies.
  • Accept and sign for all store deliveries. Report discrepancies to manager.
  • Process shipments ensuring that all merchandise and supplies are well organized, properly stored, and in good condition.
  • Process and return defective merchandise and/or supplies. Report damaged goods to manager.
  • Use inventory software to record, track, and maintain all inventory related data and compare them to the physical store inventory.
  • Work with GM to brainstorm ways to reduce inventory discrepancy and possible theft or “shrinkage.”
 
Position Requirements

  • Demonstrated ability to supervise staff and work with colleagues, volunteers and interns
  • Familiarity with financial and customer service principles
  • Excellent organizational skills
  • High degree of integrity and honesty
  • Demonstrate an understanding of protocol and sensitivity to cultural diversity issues
  • Ability to problem solve in a moderate to fast-paced environment
  • Capable of fostering a team environment
  • Excellent internal and external customer service skills
  • Proficient in Microsoft Office Suite and Outlook 365
  • Proficient with Point-of-Sale (POS) systems, such as Altru or similar software.

Supervisory Responsibility

Yes. Assistant Manager of more than one location.

Work Environment

This position operates in an office setting and a public environment. This role routinely uses standard office equipment such as computers (including POS system), phones, photocopiers, filing cabinets, and fax machines. Occasionally uses walkie talkies.

Physical Demands/Strength

While performing the duties of this position, the employee is regularly required to sit, stand, talk and hear. The employee is frequently required to walk, grasp, feel and use repetitive motions and eye/hand/foot coordination. Occasionally, the position is required to lift up to 10 pounds, carry, push, pull, climb balance, stoop, kneel, crouch, and reach. The position requires light to medium work.

Environmental Conditions

Moderate noise.

Position Type/Expected Hours of Work

Salaried. This position regularly requires weekend work and some evenings.

Travel

25 % local travel required. Must have reliable transportation and a valid driver license.

Education/Experience

  • Bachelor’s degree in Business Administration, Retail Management or related field of study required
  • 1-3 years of management experience
  • Online retail management experience a bonus
