Program Support Specialist

The Program Support Specialist provides administrative project support to the Vice President of HS/EHS, the AVP of Quality and Risk Management and the Assistant HS/EHS Director (the HS/EHS Leadership team).


  1. Creates, maintains, and organizes the Vice President of HS/EHS' paper and electronic files.
  2. Schedules and confirms appointments, meetings and conference calls as requested
  3. Arranges for meeting rooms or facilities as well as any needed materials and meals, if required.
  4. Coordinate all travel arrangements for conferences (hotels, travel, etc.).
  5. Coordinates orders and purchases.
  6. Record minutes of meetings, as required.
  7. Coordinate monthly recognitions for staff (HS newsletter, birthday/anniversary cards, well wishes, random appreciations items).
  8. Collect content from HS/EHS Directors for the HS/EHS Monthly Report and combine for publishing.
  9. Submits required documents to the CEO's Executive Assistant for the Board meetings and to the Administrative Specialists for the Policy Council meetings.
  10. Collect required documents and content in preparation for the HS/EHS grant and continuation grant applications.
  11. Develop the HS/EHS program year calendars and the annual calendars for the HS/EHS Leadership team.
  12. Work with the Manager of Administrative Services to ensure alignment between the COO's calendar and the HS/EHS Leadership team's calendars.
  13. Independently completes special projects (e.g., researching history or expenditures for information, reports, or presentations).
  14. Produces and formats accurate and timely reports, graphs, and charts (e.g., organization charts and timelines).
  15. Keeps abreast of HS/EHS activities and the work of the Content Area Directors who report to the Vice President of HS/EHS.
  16. Assist HS/EHS Leadership team in performing duties necessary to maintain the success of ECS.

  • Associates degree preferred with 1-3 years related administrative experience

  • Valid driver’s license
  • Complete 15 hours of in-service/professional development training hours each fiscal year (July-June)


  • Works in an office environment
  • Local travel to multiple sites may be required


  • Regularly required to sit; occasionally required to stand, walk and stoop, kneel, crouch or crawl.
  • Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without correction)
  • Ability to communicate both orally and in writing

In addition, ECS recently became the new Head Start/Early Head Start grantee in Marion, Dixie, Gilchrist, Lake, Levy, and Citrus counties and the Early Head Start grantee in Gainesville.
