Trust Administrator 

Description

The Trust Administrator serves as the direct point of contact for charitable remainder trust trustees and advisors to deepen our relationships to drive loyalty and retention through a high level of service. Keep trusts in compliance by ensuring distributions are processed and tax returns completed accurately. Responsible for understanding charitable trust rules and regulations and performing essential follow-up verbally or in writing with clients.

Duties & Responsibilities:

  • Ensure client retention, loyalty, and continued opportunities with excellent client service achieved through pro-active client contact, prompt and accurate responses, high energy and enthusiasm. Answer client emails/phone calls accurately and efficiently. Handle a wide variety of charitable giving vehicles and assets including noncash or hard to value assets. Complete research, make recommendations, and resolve complex client service requests.
  • Follow-up to ensure that all statements, financial transactions, and data entry are received and processed in a timely manner.
  • Complete account management including working daily/weekly/monthly reports to discover and act on exception reporting, maintaining and updating client records, and following procedures for documenting standards or errors.
  • Process & follow-up on open invoices ensuring prompt payment of fees and account distributions.
  • Work with clients, legal, and compliance departments to ensure that the philanthropy tool is administered in compliance with trust documents, contracts, laws, and IRS regulations. Promptly and accurately communicate to management and clients about amendments, adjustments, changes or errors.
  • Review tax returns for accuracy before shipment to the clients.
  • Offer training and mentoring to new associates within the Client Executive role or other trust services related positions.
  • Serve as a subject matter expert within the department in support of organizational initiatives, projects, and daily business operations. Participate in developing and implementing standard or enhanced financial policies and procedures for client accounts
  • Assist other departments as necessary providing administrative or accounting support.
  • Collaborate within organization to gain appropriate technical expertise to ensure resolution of complex issues.
  • Demonstrates initiative by identifying issues and recommending solutions.
  • Demonstrates intellectual curiosity and analytical skills in areas of moderate complexity.
  • Demonstrates the ability to identify, assess, respond to and escalate risks or potential risks encountered through day-to-day activities.
 
Position Requirements
  • Bachelor’s degree in Business, Legal or related field required
  • 4-6 years of experience in financial services, banking or legal services required
  • Experience in trust administration, wealth management, estate planning/administration, paralegal or trust services preferred.
  • Attention to detail, strong time management skills, highly organized, ability to work well with others and a desire to learn
  • Client and service focused to achieve timeliness and accuracy
  • Flexibility and agility to shift priorities, cross-train and contribute to individual, team and company priorities
  • Strong business ethics and personal integrity
  • Excellent communication skills, both verbal and written
  • Microsoft Office suite experience
