Social Services Administrative Assistant
OVERVIEW: The primary purpose of the Social Services Administrative Assistant it to provide clerical/administrative and financial monitoring support to the Director. This position will also work closely to support the various programs within Social Services. The Administrative Assistant is responsible for performing high quality work with limited or general supervision. The position requires the use of initiative and good judgment; knowledge and understanding of the Lower Elwha Klallam Tribe and the department's functions. Administers policies and procedures in accordance with state, federal and tribal organizational guidelines and performs related responsibilities as required.

SALARY LEVEL: $31,200 - $41,600 annual
POSITION STATUS: Full time, non-exempt
WORK SCHEDULE: 40 hours a week
ESSENTIAL FUNCTIONS OF THE JOB
- Type varied correspondence, technical and statistical reports and other materials, some of which may involve obtaining, organizing and planning suitable presentation of content.
- Order and inventory all incoming and outgoing gift cards per the Gift Card Policy. Ensure there are adequate gift cards on hand to issue as needed.
- Maintains a complete and orderly administrative record of all files including proposals and grant activity including pre/post award procedures;
- Determine eligibility for LIHEAP, maintain communication with applicants and vendors, award benefits, maintain records of applicant and recipients, and prepare annual report for the Social Services Director;
- Participates in cross-functioning activities with program managers and staff to ensure positive performance and timely submission of required reports and scheduled events;
- Assist with travel, coordination of meetings, onsite trainings, and assist with delivering of all confidential information as needed.
- Act as a liaison between the LEKT Finance Department and the TANF staff for all accounting and AccuFund concerns.
- Assist with reviewing and approving division correspondence, insuring that correspondence follows program procedures and is grammatically correct.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED BY THE POSITION
- Excellent knowledge of grant processes and practices
- Skilled in administrative processes to carry out varied clerical and grant mandated job responsibilities
- Ability to maintain a cordial relationship with various departments of the organization for proper coordination of services
- Must be well organized and have detail oriented approach
- Proficient in the use of MS Office (Word, Excel, etc.), internet, fax, copier, printers, scanners and telephone
- Ability and willingness to learn new systems, techniques and procedures
- Excellent written and oral communication skills
- Three years' experience working in grant related field - may include board/coalition implementation and/or fiscal responsibility
- Ability to work under pressure to meet deadlines.

- Ability to interpret and apply granting agencies rules and regulations in order to maintain grant criteria compliance.

DESIRED QUALIFICATIONS
- High School Diploma or GED, higher education is desired.
- A minimum of two years of social services experience working in social services
- One-year experience working in a Native American community
- Knowledge of general goals and purpose of the LEKT Social Services Programs.
- Ability to be positive, enthusiastic and creative while coordinating a diverse group of individuals and organizations
- Ability to work well with people of all ages and cultural/economic backgrounds
- Ability to motivate others to participate in training, educational opportunities and other activities
- Ability to communicate clearly and effectively, verbally and in writing
- Experience working with Indian tribes in grant related activities.
- Ability to work effectively, either independently or cooperatively with others and to work a flex schedule based on the program needs
- Knowledge of the Lower Elwha Klallam Tribe and surrounding communities
- Must pass UA testing prior to employment and submit random urinalysis upon request
- Ability to adhere to LEKT Employee Handbook
- Valid Driver's License.
