Job Summary

This position is responsible for performing front desk administrative duties for PNC Park Administrative Building and executing numerous administrative activities for the PNC Park Operations Department.

Responsibilities:

Primary

  • Greets clients, visitors and guests of Administrative Lobby to determine the purpose of visit.
  • Maintain logs for package delivery and disbursement, visitors, and all incidents that occur in the administrative lobby.
  • Adhere to all Pirate and PNC Park policies, practices, and procedures.
  • Know the security manual and emergency response plan in detail.
  • Oversee guest pass program.
  • Various administrative duties, such as answering the phone, scheduling meetings and conference calls, ordering office supplies, minute-taking, and maintaining paper and electronic files and contacts for PNC Park Operations.
  • Prepare and file all disciplinary, resignation and termination letters, and leave of absence requests for gameday union employees and handle other employee administrative matters as assigned for PNC Park Operations.
  • Assisting with project invoicing cover sheets, monthly reporting needs, and maintenance tracking spreadsheets.
  • Extensive recordkeeping of vendor and contractor invoices, budgetary materials and architectural drawings, including preparing contractor invoices for reimbursement by the Sports & Exhibition Authority or others.
  • Coordinate with appropriate personnel (e.g., Guest Relations, Security, Cleaning, Engineer, Field Staff, ARAMARK) to collect information in order to generate reimbursement invoices for PNC Park Events Department.
  • All other duties as assigned by the Manager, PNC Park Special Projects, Strategy and Facility Services.

Secondary

  • Serve as liaison for informing union personnel of interoffice communications.
  • Assist with Game Day Staff scheduling as needed.
  • Assisting with Procurement and Travel and Entertainment Card submittals.
  • Coordinate miscellaneous requests, such as charitable donations, as needed.
  • Prepare event sheets/collect costs for special non-game day events (e.g., amateur baseball, field events, and concerts).
  • Substitute for Mailroom Courier to sort/distribute incoming mail/packages, and process all outgoing mail/packages, as needed.
 
Position Requirements

Required:

  • High School Diploma or equivalent with a minimum of three (3) years of administrative support experience or Associate Degree with a minimum of one (1) year of administrative support experience.
  • Knowledge of Microsoft Office Applications (Word, Excel, Outlook, PowerPoint).

Desired:

  • Customer service experience.
  • Speaking and writing experience.
