Description

GENERAL PURPOSE OF POSITION: Provide administrative services for the Wider Church Ministries Child and Elder Sponsorship Program. Participates as part of the Administrative Support Network for communal support across the ministries as necessary.

The National Ministries United Church of Christ embraces telework and allows employees to work a hybrid schedule as reviewed and approved by their supervisor. 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Verify Child and Elder Sponsorship Gift Batches: (review and edit check gifts, before returning the Batches and an email detailing changes CFS staff and copy Child and Elder Sponsorship Manager regarding the batch).
  • Distribute letters to sponsors from sponsored children. This includes letters from the Family Village Farm, Tibetan Refugee Self-Help Centre, and other centers.
  • Record the action on individual Raiser Edge records of sponsors. Includes reports from centers to send letters directly to sponsors.
  • Follow up as needed for declined credit cards.
  • Prepare and distribute the annual financial statements for recurring gift sponsors in January each year.
  • Assist with contacting donors with children that have aged out or left the participating sponsorship centers. Letters to donors and Raiser’s Edge documentation.
  • Assist with updates to child sponsorship webpages on the Global Ministries and United Church of Christ websites.
  • Assist with responding to request by sponsors and potential sponsors/donors (i.e., phone calls, child sponsorship email address, written correspondence and other UCC staff).
  • Office filing
  • Other duties as assigned.
 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • High School Diploma or equivalent and a minimum of 3-5 years secretarial/administrative experience,
  • Excellent written and verbal English language skills.
  • Knowledge of the United Church of Christ practices and structure.
  • Understand the Child and Elder Sponsorship program and how it works.
  • Donor relation skills
  • Human relations skills to interact effectively with persons of diverse backgrounds and cultures; ability to exercise mature judgment.
  • Ability to maintain and properly handle confidential or sensitive information.
  • Must be very “detail-oriented” and able to organize and prioritize workload.
  • Work independently and as part of a team.
  • Proficient in Microsoft Word, Microsoft PowerPoint, Microsoft Excel, database software in general, and electronic communications. Comprehensive knowledge of Raiser’s Edge (maintain records, create letters, labels, create and edit queries and reports) required.
  • Maintain records in Raiser’s Edge where accuracy is extremely important rather than speed.
