The Senior Executive Assistant serves as the primary point of contact for internal and external interactions on all matters pertaining to support of the CEO. The Senior Executive Assistant also serves as a liaison to the Board of Directors, Supervisory Committee and Leadership Team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects as needed. They exercise informed judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills and the ability to prioritize multiple important tasks. The SEA works independently on assignments and projects, from conception to completion, and works under pressure at times to handle a wide variety of activities and confidential matters with discretion. This position also focuses on:

  • Directly manages the Chief Executive Officer's calendar with oversight of all appointments. Coordinates multiple calendars in order to schedule all Board and CEO engaged meetings. Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Composes and prepares complex and/or confidential correspondence both internally and externally. Builds communication programs that assure that communication between senior executive officers and staff is continually strengthened. Communicates directly, and on behalf of the CEO, with Board and Supervisory Committee Members, Leadership Team, Management Team and others, on matters related to CEO's initiatives.
  • Oversees the strategic activities to include vendor management, meeting arrangements, and report tracking.
  • Arranges both professional and personal travel plans to include itineraries, agendas, and all supporting travel documents. Completes all expense reports while managing the CEO budget.
  • Liaison between the Board of Directors and CEO. Tracks all anniversary, birthdays and life events of Board Members as well as senior executives and recognizes these events on behalf of the CEO.
  • Assists the CEO in areas of personal business that allow her the flexibility and focus needed for credit union business.
 
Position Requirements

Experience: Eight years to 10 years of similar or related experience, including preparatory experience.

Education/Certifications/Licenses: A two-year college degree or completion of a specialized course of study at a business or trade school equivalent to approximately 64 credit hours.

Interpersonal Skills: A significant level of trust, credibility and diplomacy is required. In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance.

Physical Requirements: Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

Working Conditions: Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise. Position will require extensive travel.

Mental and/or Emotional Requirements: Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand computer basics. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.

 
Full-Time/Part-Time Full-Time  
Compensation $45,402 - $68,104  
Bondability Employment at Blue Federal Credit Union is contingent upon successful bondability.
