Description

The Lucile Packard Foundation for Children’s Health is looking for a Gift Processing Assistant to join our development services team. As our Gift Processing Assistant, you will work with our gift processing team to receipt, record and acknowledge all incoming gifts. As part of this team, you will help to ensure that every gift reaches its designated purpose and that every donor’s generosity is acknowledged. You will also have the opportunity to assist with database maintenance tasks in our donor database which may include updating constituent records, processing return mail, creating acquisition records, and screening for duplicate records.

As part of this team, you will help to ensure that every dollar we raise is used to advance our mission of child and maternal health.

  • Process gifts which includes entering relevant gift information in the donor database and ensuring each gift is deposited.
  • Help ensure the accuracy of the gift entry by performing daily audits and identifying potential issues.
  • Serve as an initial point of contact to help donors with questions about gifts, including managing the general gift processing email inbox and receiving phone calls from donors.
  • Add, update, and correct address information in constituent records using information obtained from a variety of sources including online resources, returned mail, National Change of Address (NCOA), donors, and other foundation staff.
  • Research and enter constituent relationship links within the donor database (spouse, child, family member, etc.).
  • Assist in data integrity and maintenance projects as assigned by the Database Manager.
  • Contribute to the team’s success by helping to identify, research, and/or participate in any projects to improve policies and processes.
  • Be a reliable and dependable member of the Gift Processing team with regular predictable attendance.
  • Be able to work overtime if necessary, especially closer to the end of the year during our busy season.
  • Be comfortable working in the office, following the Foundation’s Social Distancing Policy.
  • Flexible and enthusiastic to learn new processes and/or handle various projects as assigned.

 

COMPETENCIES:

Accuracy: Ability to accurately identify and sort different types of incoming gifts and enter them into our database, Raiser’s Edge, with minimal input errors. Ability to learn from errors to determine why they occurred and how to prevent them from happening again.

Adaptability: Ability to adapt to a changing workload especially as we approach the year-end busy season. Ability to handle a variety of tasks and to move quickly from one task to the next. Ability to switch focus easily without losing efficiency and openness to trying new approaches to accomplishing tasks.

Communication: Ability to communicate clearly in writing (email) or on the phone. Ability to work with a wide variety of people and to represent the Foundation professionally with excellent written and verbal communications skills.

Efficiency and Project Management: Ability to maintain focused attention to complete a series of tasks efficiently. Ability to complete a set of tasks in a reasonable time-period with accuracy and efficiency. Ability to manage multiple projects simultaneously in a busy environment. Ability to be proactive and work independently or with minimal supervision.

Good Judgment: Ability to exercise good judgment and handle confidential and sensitive information with the utmost discretion.

We are a dynamic organization in a rapidly changing industry. Therefore, the responsibilities associated with this position will change from time to time in accordance with LPFCH’s business needs. More specifically, the incumbent may be required to perform additional and/or different responsibilities from those set forth above.

 
Position Requirements

SKILLS, EXPERIENCE AND JOB-RELATED REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Required:

  • Highschool diploma (or equivalent)
  • Two (2) years of experience in an administrative or bookkeeping role.
  • Experience doing data entry with strong attention to detail.
  • Experience with Microsoft Excel, Word, and Outlook.

 

Preferred:

  • Experience with Access database a plus.
  • Experience working in a non-profit foundation and college-level courses in business or database management.

Familiarity with a non-profit fundraising database software such as Raiser’s Edge, and/or experience developing new skills using databases and/or reporting systems.
