The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Operations Manager, the Operations Assistant will provide administrative and project support to the COO and Operations Team. We are seeking a dedicated, well-organized, and tech-savvy individual who can anticipate the needs of the office and ensure an efficient work environment.

You Will:

  • Provide general administrative support to the COO of the Museum.
  • Support the Operations Team with projects.
  • Track expenses and reconciliation of Museum COO’s corporate credit card.
  • Assist in the service and up-keep of the breakroom, storage rooms, mailroom, and other common administrative spaces in collaboration with the Museum Maintenance department.
  • Order office supplies and maintain relationships with vendors.
  • Act as a travel liaison for Museum staff and external parties traveling for Museum business.
  • Lead shipping, receive processes, and distribute mail and packages.
  • Order parking validations and oversee staff parking permit allocation.
  • Create, edit, and proof a variety of documents and spreadsheets, along with researching tasks.
 
Position Requirements

You Have:

  • A High School Diploma or equivalent (G.E.D.).
  • 1+ years of experience as an administrative or operations assistant.
  • Experience working in customer-facing operations such as hospitality, museums, or retail preferred.
  • Experience working with operations-related vendors.
  • Experience handling multiple projects simultaneously.
  • Experience providing excellent customer service.
  • The capacity to work quickly and efficiently under high-pressure situations.
  • A keen eye to organizing data.
  • Proficiency in MS Office applications.
  • A commitment to diversity, equity, and inclusion.
  • Flexibility to work some weekends and late hours.

 

Physical Requirements:

  • Must be able to lift up to 20 lbs.
