Collection Information Registrar

The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Senior Director, Registration and Collection Management, the Collection Information Registrar will play a critical role in the development, management, maintenance, and use of the museum’s collection information.

You Will:

  • Manage collection information in an AdLib database, or other collections databases and spreadsheets.
  • Maintain standards and perform quality control for record content, assuring consistency, and compatibility of data.
  • Develop and implement metadata conventions to ensure the long-term accessibility of physical and born-digital material.
  • Oversee data entry and cataloging for consistency and correctness to ensure that standards are followed.
  • Serve as a coordinator for the data entry process including efforts of registration, conservation, and curatorial staffs.
  • Identify and troubleshoot issues within an AdLib database, working in conjunction with other Academy departments.
  • Develop reports using available software tools to create a comprehensive library of forms to support various museum functions.
  • Field and fulfill internal and external collections queries.
  • Develop a department cataloging manual and revise cataloging and/or procedural manual for data maintenance as circumstances change or need arise.
  • Lead large-scale data entry and clean-up projects to support the diverse needs of users across the Museum in a centralized system.
  • Manage or assist with other department projects which may include handling, moving, or packing objects to museum standards.
  • Stay informed of developments in the fields of museum registration and exhibition development, and actively engage in or contribute to professional training opportunities.
  • Supervise and train registration interns and/or volunteers in coordination with the department head.
  • Hire and supervise contractors providing art handling, preservation and transportation services.
 
Position Requirements

You Have:

  • A bachelor's degree in museum studies, information science, or a related degree required. A master’s degree in a related field or MLIS preferred. Equivalent degree or experience will be considered.
  • 3+ years’ experience with museum cataloging and administrating a museum collection management system.
  • Strong computer skills, including experience with relational museum/library databases, Microsoft Excel, and Airtable.
  • Experience with standard museum cataloging, registration and collections management policies and procedure is required.
  • Knowledge of published vocabularies including, AAT, ULAN, and TGN.
  • Knowledge of data content standards and other museum information standards.

Physical Requirements:

  • Must be able to sit, walk, stand, climb stairs and ladders, and lift or push objects up to 30 pounds.
