Klallam Counseling Services
Client Care Coordinator

OVERVIEW: The Client Care Coordinator is responsible for providing case management, collaboration and support needed to assist KCS clients in meeting their treatment goals. Services are provided in accordance with good customer service and within HIPAA (Health Insurance Portability Accountability Act) and 42CFR regulations. The individual must be a team player.

LOCATION: Klallam Counseling Services
SUPERVISED BY: Treatment Program Manager
POSITION STATUS: Regular full-time non-exempt. This position includes medical, dental, life insurance, retirement, annual/sick leave benefits
SALARY LEVEL:
WORK SCHEDULE: Monday - Friday 8:00 am - 5:00 pm
Hours may vary depending on agency needs. Occasional
weekends for a scheduled activity

ESSENTIAL FUNCTIONS OF JOB:
• Collaborate with Substance Use Disorder Professionals to provide support to clients in meeting their treatment goals.
• Assists clients in making and getting to essential appointments.
• Provides transportation for clients when necessary and appropriate under KCS transportation policies.
• Oversees supply inventories. Maintains adequate office supplies, forms, educational literature, films and any other necessary program materials.
• Develop relevant forms and documentation as requested.
• Participates in activities designed to increase productivity within KCS.
• Be point of contact person for records requests.
• Assists Treatment Program Manager in accounting related tasks such as check requests, purchase order requests, travel requests and reconciliations.
• Point of contact for Billing Department. Maintains records of services provided and provides information to billing as required.
• Type correspondence, answer and route telephone calls, assists reception with data entry and serves as back up reception as needed.
• Observes urinalysis testing as needed.
• Maintains an up to date phone and address list of referral agents and community resources.
• Maintains knowledge of community resources and assists clients in appropriate use and access to community resources.
• Communicate and work effectively with all outside referral sources/community resources.
• Work in a cooperative and collaborative manner as a part of the KCS team.
• Assist in building positive working relationships with staff in all departments of the Lower Elwha Health Department and all other LEKT departments.
• Represent KCS program at community events when requested.
• Assist in developing and planning community and recovery events/actives sponsored by KCS.
• Run agency related errands as required.
• Patient transports when necessary.
• Builds and maintains client records. Archives closed records
• Other duties as assigned that are relevant to the successful operation of the agency.

 
Position Requirements

MINIMUM QUALIFICATIONS:

  • Minimum of high school diploma or equivalency.
  • Absolute adherence to confidentiality.
  • Previous office experience preferred.
  • Computer competency in word processing, spreadsheets, and data base.
  • Strong organizational skills and the ability to express thoughts clearly in verbal and written communications.
  • Ability to communicate effectively and tactfully with clients and the community.
  • Ability to multi-task and assume a variety of roles depending on need.
  • Ability to establish and maintain effective working and public relationships.
  • Ability to work independently, makes decisions, and maintains program goals and priorities.
  • Knowledge of substance use disorder treatment and the effect of substance use disorder on individuals, families and communities.
  • Must be a team player.
  • Good personal hygiene and grooming.
  • Ability to successfully pass a criminal background check and UA drug screening test.
  • If past drug/alcohol abuse exists, must have minimum of 1 year clean.
  • If past client of agency, must not have been a current client in the past year.

    PHYSICAL REQUIREMENTS:
  • Stamina to work 40 hours per week primarily in an office setting
  • Ability to reach and squat for filing purposes
  • Walking and standing; sitting down for long period of time
  • Able to lift and carry light loads approximately 25 pounds
  • Requires use of standard office equipment, including computer, phone, fax, and photocopier
  • Need to be able to effectively deal with a wide public population who may exhibit angry and threatening demeanors
  • Being tactful and friendly

    OTHER DUTIES AND REQUIREMENTS:
  • Must be able to comply with the LOWER KLALLAM TRIBE policies and procedures, including the Drug Free Workplace
  • Demonstrated knowledge and the ability to model the expectations of confidentiality.

CONDITION OF EMPLOYMENT:

This person must be of the conviction that alcoholism and other drug addiction are treatable illnesses and public health problems.

This person must sign an oath or permanent confidentiality covering all client-related information.
