Description

Administrative Assistant 

Position Summary:

The Administrative Assistant supports all types of campus operations including answering phones, assisting with student attendance, finding subs, day-to-day scheduling, data input file creation, supply ordering, daily office upkeep, mail, and school-specific email.

Key Responsibilities Include:

  • Ensure that the phone is answered 100% of the time in a quick, warm, and upbeat manner during regular school hours.
  • Assist teachers, parents, and administration in adjusting and maintaining the master schedule.
  • Arrange substitute teachers in case of teacher absences.
  • Maintain communication about schedule changes to parents, teachers, students, and Admin team members.
  • Execute the input of Mastery Sessions.
  • Be a warm, welcoming presence and greet all guests at the front desk.
  • Keep all necessary school supplies in stock by maintaining inventory and proactively ordering through the defined Fusion procurement process.
  • Maintain and organize student records.
  • Provide celebrity experience to students, staff, and families.
  • Help staff navigate company systems and processes.
  • Execute student records requests to prior school(s) for new students.
  • Create the biannual IROC schedule and for teachers and administrators.
  • Create the biannual Parent Back to School Night event schedule for teachers and families.
  • Check unrendered sessions weekly and follow up with staff to ensure it is cleared.
  • Participate in leadership meetings.
  • Execute monthly campus newsletter.
  • Continuously enhance Fusion culture and happiness factor with students and staff.
  • Support planning and execution of school events, including prom and graduation.
  • Meet weekly with the Head of School to discuss administrative and campus needs.
  • Assist with campus events.
  • Support state compliance requirements.
  • Be an integral part of the Crisis Management Team.
  • Other duties as assigned.

 

*Hours:7:45 am to 4:15 pm (M-F)  

 
Position Requirements

Qualifications:

  • Bachelor's degree preferred. 
  • 2-3 years of administrative assistance experience desired. 
  • Commitment to the early morning shift.
  • Flexibility to extend work hours on an as-needed basis for events and campus needs. 
  • Supportive nature and ability to stay upbeat in difficult situations.
  • Patient and understanding.
  • Creating positive relationships with students, parents, teachers, and the community.
