Summary

Responsible for the Accounts Payable function of multiple Astronics Divisions. Perform a three-way match between invoice, purchase order for price and packing slip for quantity. Follow up with procurement or receiving on discrepancies. Work with vendors to obtain appropriate credits when necessary. Investigate missing packing slips. Obtain approval for non-purchase order invoices.

Essential Duties and Responsibilities

The essential duties and responsibilities include the following, other duties as assigned.

  • Monitor Accounts Payable in-boxes for multiple divisions. Review all invoices for accuracy and entry into accounting system.
  • Invoices should be processed within a week of receipt. Inability to process an invoice should be communicated to appropriate parties to facilitate the invoice entry.
  • Obtain Project Lead’s approval for engineering invoices.
  • Reconcile vendor statements to accounting system. Answer vendor payment inquiries.
  • Maintain vendor files including W-9 information.
  • Review travel expense reports verifying all charged expenses have receipts and all charges on credit card have been identified. Enter travel expenses into accounting system for payment.
  • Reconcile credit card statements on a timely basis.
  • At month end, clean Accounts Payable aging by clearing all intercompany invoices to their appropriate general ledger account. Offsetting invoices within other invoices that zero should also be cleared off the aging.
  • Maintain files for journal entries, invoices, packing slips, and all other accounting documents.
  • Responsible for implementing and complying with all ethical and legal compliance requirements.
  • Other duties & functions may be assigned to this position as needed.
 
Position Requirements

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

Education and/or Experience

Required:

  • High School or GED.
  • Minimum of 0-2 years of accounts payable/accounting in a manufacturing environment.
  • Must be familiar with Microsoft Excel, Microsoft Word, and Outlook.
  • Excellent analytical and organizational skills with the ability to prioritize workload.
  • Excellent oral, written and interpersonal skills with the ability to interface and communicate with all levels of the organization.

 

Preferred:

  • Associate’s degree in Accounting, Business Administration, or Finance.
  • Familiarity with ERP software.
  • Basic knowledge of accounting principles and familiarity with the accounting cycle.
