SUPERVISION RECEIVED: The Accounting Manager-Payroll & Tax Compliance works under the direction of the Associate Director of Financial Operations.

POSITION SUMMARY: This position is responsible for the institution's payroll as well as all related reporting. This appointee is in charge of federal, state and local tax compliance as well as managing data integrity between multiple systems. Other responsibilities include but are not limited to monthly bank reconciliations, reporting requirements, annual audit reports, general ledger journal entries, workers compensation audit, and other Business Office related functions.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Oversee day-to-day payroll processes
    • Maintain customer focused relationships with faculty, staff, and students. This position is customer facing and provides assistance regarding payroll related items to a variety of campus employees.
    • Serve as the back up to the Payroll Coordinator for any payroll related items
    • Process all taxable fringe benefits
    • Calculate retro pay and Faculty contract payouts
    • Review of general ledger accounts related to payroll and process payroll journal entries as needed
    • Work with HRIS provider on payroll related issues
    • Assist Human Resources and Payroll Coordinator with all unemployment related information requests or issues.
    • Review and process monthly unemployment reconciliation and payments
  • In conjunction with Human Resources, this position is responsible to ensure data integrity within the HRIS system
    • Work closely with Human Resources on joint projects and data integrity
    • Run and design reports in multiple systems
  • Oversee annual tax processing and reporting requirements
    • Annual Federal tax forms such as 1099NEC, 1099MISC, 1042S, 720
    • Annual state and local tax reporting and escheat
    • Process monthly local amusement tax reporting and payments
  • Other account and financial related tasks
    • Year-end payroll accruals for financial audit
    • Provide requested information and reconciliations for financial audit and worker's compensation audit
    • Assist with Federal Form 990 payroll data
    • Perform monthly bank reconciliations as assigned
    • Complete journal entries as assigned, and post other Business Office staff member's journal entries as directed
  • Other duties and projects as assigned by Associate Director of Financial Operations

QUALIFICATIONS: The applicant should possess a baccalaureate degree in accounting or finance-related field and have at least 3 years of general accounting and payroll experience. Non-resident Alien knowledge helpful. Experience with payroll tax rules and regulations is a must. Additionally, significant experience with Microsoft Office, particularly spreadsheet applications, word processing and databases, is essential. Excellent organizational skills are required as is the ability to multi-task and to meet established deadlines. The ability to maintain confidential information is essential. The position requires superior interpersonal and communication skills in dealing with staff, faculty, and students. Must be able to show initiative and be responsible for continuous process improvement within his/her responsibilities; striving for best practices to improve the quality, efficiency, and contributions of the Business Office. Preferred skills include previous higher education experience, knowledge of outsourced payroll systems and HRIS system packages, report writing software, and federal tax rules relating to international students, permanent and visiting faculty and speakers.
