The Events Specialist works closely with clients and vendors, independently coordinating details from initial inquiries and site tours, through the planning process and contracting, to the unaided supervision of the day of the event, ensuring the success of all assigned projects. Serves as the main point of contact and facilitator for clients and vendors. Serves as an integral component of the Events Department, representing the Credit Union to its members, clients, partners, and guests through the development and execution of events and the cultivation of new relationships. Manage the planning and execution of Credit Union events for members, the public, and Credit Union employees. Provides five-star service, takes initiative, has a strong sense of responsibility, is able to confidently make important decisions unsupervised, is detail oriented, and has excellent organizational and follow through skills. A flexible schedule is required with availability on evenings and weekends on short notice. This position also focuses on:

  • Directs and manages vendors and staff on event days for internal and external events, serving as the company representative and facilitator for clients, vendors, staff, and volunteers. Oversees details related to the property on setup/rehearsal days and day-of, including the event time line, staff coordination, vendor load-in/out and vendor requirements, setup details, arming/disarming and locking/unlocking the building, etc. Responsible for working unsupervised, creatively and independently solving unexpected problems, and making decisions to ensure the success of each event.
  • Supports the Events Department with planning and execution of larger scale events for the credit union and/or community. Independently manages associated tasks and people with assigned events while representing Blue in the reputation management and community relations sphere, not only to the greater Cheyenne Community, but also to out of state guests in attendance.
  • Performs necessary administrative tasks for the efficient day-to-day operation of the Events Department and other duties as assigned
  • Independently and without supervision, carries out all necessary meetings to go over event details and venue needs, creating timelines and floor plans for clients. Serves as the main point of contact and facilitator for clients during the planning process, answering emails and calls, and setting up and carrying out planning meetings. Meet vendors and provide venue tours prior to event dates.
  • Responsible for responding incoming inquiries via phone and email, carrying out site visits singlehandedly, serving as a reliable resource for anything related to contracting and booking events.
  • Constructs proposals, invoices, contracts, and other materials to secure business. Implement company policies, negotiate contracts, and coordinate payments with clients and accounting, directly supporting the financial growth of the organization.
  • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
 
Position Requirements

Experience: 1+ years of work experience planning and executing events, ideally working with clients to realize their vision. Similar or related experience will be considered, including preparatory experience in customer service, hospitality, event planning, or a related field. Leadership experience preferred.

Education/Certifications/Licenses: Bachelor’s degree in Hospitality, Event Planning, Communications, Public Relations, Business, or related field preferred, but not required. Minimum one year of experience with event execution, managing staff and vendors on event days. Wedding planning preferred. TIPS certification (to serve alcohol) preferred, but not required.

Interpersonal Skills: A significant level of trust, credibility and diplomacy is required. In-depth dialogue, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance. Typically includes subject matter experts as well as first level to middle managers.

Other Skills: Develop and maintain positive relationships with clients and vendors. Build partnerships with internal and external stakeholders to effectively support and execute events. Adheres to Brand standards and utilizes every event execution as an opportunity to enhance Blue. Experience managing vendors, being the main point of contact with clients, and being the “middle person” for all parties involved. Strong communication and organizational skills for use in handling a large number of details and multiple projects with firm schedules and deadlines. Ability to build relationships with clients/vendors/guests and demonstrate excellent interpersonal skills.

 
Full-Time/Part-Time Full-Time  
Compensation $17.90 - $26.85  
Bondability Employment at Blue Federal Credit Union is contingent upon successful bondability.
