Intake Scheduling Specialist - Mental Health  


The Intake Scheduling Specialist will be responsible for organizing the intake admission process by collaborating with various internal and external customers. This position will also be responsible for supporting the Customer Care team at the various customer service desks throughout the organization.

Essential Job Duties:

  • Conducts self in a professional manner and implements the principles of Trauma-Informed Systems of Care in their daily work.
  • Collaborates with internal and external customers, including referring agencies, to coordinate and schedule intake evaluations and other services as necessary.
  • Utilizes Cerner Behavioral Health software for creating/updating client charts, scheduling, and documentation.
  • Manages a high volume of calls from multiple lines.
  • Provides exceptional customer service to both internal and external customers on the phone and in person at all times.
  • Informs customers of services available at Wyandot BHN and has knowledge of external/referral sources.
  • Completes insurance verification for new and existing customers.
  • Informs/collects customer payments due at time of service.
  • Tracks data related to the function of this position.
  • High attention to detail and organizational skills while managing multiple tasks.
  • Sensitivity to confidential information and HIPAA regulations
  • Performs other related duties as deemed appropriate by the immediate supervisor or designate.
  • Previous experience using an electronic medical record and/or scheduling software.
  • Self-directed, works well independently and in a team setting.


Position Requirements

Job Requirements:

  • High School diploma or GED equivalent. Current or recent studies in behavioral healthcare a plus!
  • Bi-lingual (English/Spanish) highly preferred.
  • One year experience in a medical office setting preferred.
  • Proficient with Microsoft Office products and medical records system experience.
  • Quick assessment skills to determine level of need and appropriate services.
  • Adaptability and openness to a changing environment and work priorities.
  • Reliable vehicle and valid driver's license required due to occasional need to cover at other Wyandot BHN locations.

Hours Monday - Friday, 8:00 am to 5:00 pm with flexibility to stay beyond 5:00 pm, as scheduled.
