Your Role

The Assistant Director (AD) of Development Management & Operations is a critical member of the Urban Teachers Team who will report to the Vice President of Development. As the Assistant Director, you will be responsible for ensuring that Urban Teachers’ Development team and function are operating efficiently and effectively while cultivating and stewarding a portfolio of major national investment opportunities. As an essential partner to the VP, Development, and collaborator with external relationship managers (including regional Development Directors, Executive Directors, and our CEO), you will play a central role in building and facilitating a high-performing Development function supported by reliable systems, processes, information, and cross-functional collaborations; strong annual pipeline, budget, and project planning; and a strategic, consistent cadence of national portfolio engagement.

You will embody a relentless focus on both process and outcomes, ensuring that inclusivity and effectiveness are central to our operations and pipeline management and that our internal activities are driving to core organizational and team performance indicators. As the AD, you will also support the growth of Urban Teachers by identifying and tackling needs-, goals-, and strategy-aligned improvement opportunities – from systems to workflows to use of data – as our growing nonprofit strives to expand and pivot our development operations and portfolios to better reflect future opportunities for impact and sustainability.

Due to the impact of COVID-19, our regional offices are closed and staff members will work virtually until further notice. Otherwise, location is flexible for the right candidate, though a strong preference will be given to candidates in Baltimore, Washington DC, Dallas, or Philadelphia.

Responsibilities

  • Support VP, Development and CEO in managing, cultivating, and stewarding portfolio of national investors (including general operations, special initiatives, and program expansion)
    • Support quarterly and annual planning, and help to advance weekly, monthly, and quarterly moves management and meeting preparation
    • Draft selected donor-facing email and cultivation/stewardship content, including flex support on key deliverables alongside primary grant writers, and support relationship-holders in corresponding with donor contacts
    • Join selected external donor/partner meetings and manage follow-ups
    • Build and maintain annual national pipeline in Salesforce, including regular data and documentation updates, and partner with VP to build annual market analyses and plans
  • Advance prospect research and national pipeline development/management
    • Manage, implement, and improve prospecting tools/systems and prospect research workflows
    • Build out and evaluate/adjust national portfolio alongside VP on annual and quarterly basis
    • Respond to ad hoc requests for diligence on specific opportunities, as well as discrete research projects to support pipeline expansion or refinement where needed, across portfolios
  • Build data leadership and sales team culture in partnership with VP
    • Set agendas for key weekly, monthly, and quarterly meetings
    • Continuously administrate and improve data infrastructure, processes, and tools to facilitate optimal maintenance and use of data for sales management and evaluation, including streamlined data entry and reporting for portfolio owners and solicitors
    • Partner with VP and portfolio owners to build and share concise, actionable, and needs-aligned data dashboards, trend analyses, and performance narratives for leadership, board, and team
  • Enable essential cross-functional finance and budgeting operations
    • Own gift processing workflow across multiple platforms (e.g., online giving, campaigns) and support portfolio owners in timely acknowledging all gifts
    • Partner with Finance to ensure that all records are reconciled across our Salesforce and accounting systems (with an eye towards maximizing efficiency of these monthly and quarterly processes)
    • Partner with VP and portfolio owners to build and implement data-, market-, and strategy-driven annual goal-setting and budgeting processes
  • Serve as project and systems management lead for Development team
    • Collaboratively build and manage project plans for major quarterly and annual initiatives, from annual planning, goal-setting, and campaigns to time-bound systems and data updates
    • Facilitate optimal team use and continuous improvement of project management, data, and communications systems to maximize efficiency and effectiveness of project execution
    • Manage contracts and procurement for key team vendors
    • Manage internal and external email accounts for Development team
 
Position Requirements

Qualifications 

  • 3-5+ years of experience in a similar role, ideally including internal development operations and systems for a growing development function as well as support for external donor pipeline build-out, moves management, and engagement
    • Prior demonstrated success in time-bound strategic prospect research and relationship mapping to build a needs-aligned donor pipeline and inform donor and connector engagement plans - preferred
    • Prior independent, effective written and oral communications to assist in donor cultivation and stewardship - preferred
  • Agile, flexible executor who enjoys managing a full calendar of projects and tasks and engaging in a wide array of development-focused activities
  • Excels at upward, lateral, and cross-functional management and influence to achieve excellent and timely outcomes
  • Data leader who brings others along in consistently updating, using, and understanding sales data, and balances detail-oriented data maintenance with a clear big picture/story
  • Strategic process designer and project manager who links consistently activities to outcomes and knows how to flexibly prioritize or pivot across multiple short- and long-term outcomes
  • Comfortable with relevant Development systems and tools (e.g., Salesforce or analogous CRM systems, prospect research tools, etc.), including back-end and user experience
