Event Operations Student Assistant

Definition and Purpose    

The Event Operations Assistant reports directly to the Coordinator – Event Management and is responsible for implementing a broad range of event set-up and take down of equipment to include stage pieces, risers, table s and chairs, event setup and take down preparation for ASI special events, concerts, club competitions and all campus events in the University Union and Recreation Center, with concurrent event management when required.

There will be an opportunity for advancement within this position as an Event Operations Supervisor. The Event Operations Supervisor will be directly responsible for assisting customers with large scale events.

Educational Requirements and Qualifying Experience

  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. All ASI student staff must have a minimum cumulative GPA of 2.0 at Cal Poly. Graduate students must carry 4 units/3.0 cumulative GPA at Cal Poly.
  • Must be tactful and courteous to all associates and visitors; promptness and attention to detail are essential.
  • First Aid, CPR and AED certification required.
  • Previous experience in set-up and take down of events preferred.
  • Ability to perform physical labor (lifting up to 50 lbs.) for riser, stage sections, podiums, etc.
  • Previous event management experience preferred.
  • Experience working in a customer service-oriented environment.
  • Ability to provide a welcoming, inclusive environment for staff and participants.
  • Ability to supervise student staff and/or participants.
  • Background involving club participation and/or advising is desirable.
  • Must hold a CA Driver's License with a driving record acceptable to our insurance underwriters.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
  • Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.

 

Supervisory Responsibilities

  • Serve as first responder in risk management/emergency situations.
  • Monitor and oversee concert staff (ticket takers, ushers) as well as provide crowd control at events.
  • Enforce policies and procedures.
  • Ensure a safe environment for all participants.
  • Provide periodic on-site event supervision for Sport Club Events, special events and concerts.
  • Assist in keeping facility clean and safe.

 

Essential Duties and Responsibilities

  • Supervise and participate in the set-up and take down of concerts, club competitions, and special events in the University Union and Recreation Center
  • Assist in the setup and takedown of events in Chumash Auditorium, UU220, UU Plaza, UU Conference Rooms, Recreation Center, and periodic special events outside of ASI.
  • Serve as the onsite event supervisor for ASI concerts and special events.
  • Act as liaison with security, medical staff, facility staff, promoters, event organizers, custodial and ticket takers, and ushers to ensure effective and professional event management.
  • Maintain files on each concert, special events or club competition to include tracking hours for each event.
  • Serve as inventory control for event management materials.

  • Provide direct support for the customer.
  • Ability to provide positive customer service.
  • Provide general oversight of student staff.
  • Strong conflict management and problem-solving skills.
  • Must be able to make impactful decisions when appropriate.
  • Ability to enforce staff expectations, and recommend appropriate disciplinary actions as needed.
  • Supervise program participants’ behavior, and appropriately intervene when needed.
  • Maintain a positive relationship with staff, co-workers, and customers.
  • Adhere to and enforce all ASI departmental policies and procedures.
  • Monitor event use. Understand crowd control and have the ability to recognize potential event problems before they occur.
  • Commitment to student development and leadership.

  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.

Period of Employment

Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.

Compensation and Hours

Pay Rate: Event Operations Student Assistant $14.00 per hour; Event Operations Student Supervisor rate $14.50 per hour maximum 20 hours per week. Early mornings, late nights, weekend, and holiday hours required.
