Reporting To: Senior Property Manager
Status: Non-Exempt, Full-Time

EMPLOYEE OWNER POSITION PURPOSE:

The Property Management Assistant is responsible for providing exceptional customer service and quality administrative support to both internal and external clients, including, but not limited to: supporting effective residential property management within the company’s portfolio, partnering with the Executive Property Manager to develop the skills necessary to grow into a Property Manager, and performing special projects/research.

JOB DUTIES AND RESPONSIBILITIES:

  • Process accounts payable for rental accounting department
  • Enter and maintain current data/records using Microsoft Office and Yardi software
  • Answer and service incoming calls; notify supervisor of any issues
  • Pre-screen rental callers and direct accordingly
  • Process rental applications and provide receipts for multiple offices
  • Provide excellent customer service both in person and on the phone
  • Send applicants a written notice form if not qualified per company criteria
  • Assist Corporate Broker with various care of rental properties and to minimize vacancies
  • Other duties and special projects as assigned (including providing support for other departments)

QUALIFICATIONS:

  • Experience in rental property management preferred – particularly with Yardi
  • High School Diploma (or equivalent)
  • (2) years of accounting experience, preferably in a property management setting
  • Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus
  • Conflict resolution skills
  • Ability to meet deadlines and address time-sensitive issues
  • Superior multi-tasking skills
  • Excellent written and verbal communication
  • Ability to provide high-level customer service with astute attention to detail and organization
  • Must be a team player
  • Ability to manage workflow amid shifting priorities
  • Willing to learn Company process and procedures, and learn/use proprietary software
  • Adaptable and dependable with a solid attendance record
  • Professional and respectful demeanor with all internal and external customers at all times
  • Must be reliable and demonstrate consistent follow-through
  • Ability to handle urgent situations, meet deadlines, and demonstrate strong problem solving skills
  • Adaptable and flexible, including to changes implemented by Corporate Broker

SPECIAL POSITION REQUIREMENTS:

  • Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc.
  • Be stationary for periods of time
  • Relocate up to (25) pounds
  • Travel to and from offsite locations

  • None

SCHEDULE & TRAVEL:

  • Monday-Friday from approx. 8:00 am-5:00 pm
  • This position may require occasional long hours to meet business needs
