Salary: $42,000-$46,000 annually

What You Will be Doing
The Payroll Specialist is responsible for all aspects of quality payroll service for our Boundless clients. Partners and collaborates with management with the objective of producing accurate, compliant, and timely delivered payrolls. Compiles and records employee time, enters payroll data, works with managers to ensure accuracy of the information and researches discrepancies, and runs reports for HR management. This position works with onboarding staff to review data entry of new staff into the HRIS system, verifies information to make certain data entered correctly, and oversees the maintenance of employee records. This position partners with HR management to develop strategies and plans to provide services to new groups and companies and suggests/implements new practices to ensure continuous improvement of HR payroll processes.

Essential Functions

  • Monitors activity in the time and attendance system. Collaborates with management for the objective of producing accurate, compliant and timely delivered payroll. Ensures supervisors review and approve biweekly timesheets, answers supervisor questions, transfers hours into the payroll system. Enters payroll maintenance data each pay period. Reviews registers and reports for discrepancies prior to finalizing the payroll file. Processes biweekly payroll accurately and in accordance with Boundless HR guidelines.
  • Produces all post payroll reports (overtime, PERS, 401k/457b, etc.) and distributes in accordance with Boundless HR guidelines. Uploads biweekly PERS report via PERS ECS site and sends monthly reconciliation to FCBDD finance staff. Sends monthly census of bargaining unit staff to union membership staff and enters deduction changes for union staff and union new hires. Uploads biweekly 401k/457b deferrals/loan deductions to Nationwide.
  • Accurately enters and maintains company level and employee level information in the payroll system, including, but not limited to: personnel changes, wage adjustments, garnishments, child support and liens, tax withholding changes, direct deposit, special withholdings, leave of absence/termination forms, and all other Boundless HR required forms necessary for payroll processing, new department and cost center codes for each company code, staff allocations, local tax/school district tax codes, employee demographic changes including EEOC, workers’ compensation codes, benefit plan deductions, paid time-off benefit programs, and retirement plan deferrals.
  • Maintains Human Resource Information System (HRIS) records and compiles reports from the database as needed. Scans and electronically files all personnel records. Provides a review of new files entered into the payroll system for accuracy and audits HRIS system monthly to ensure no missing information. Updates and maintains individual employee data and payroll files. Assists in attendance/absence management for FMLA and worker’s compensation by ensuring proper coding used in the payroll system and updating usage charts for each employee.
  • Ensures that quality payroll service is provided to Boundless and clients by maintaining the highest level of quality service as measured by a number of errors/manual checks and satisfaction scores. Collaborates with HR and payroll-related internal departments and management teams to ensure employee issues are quickly resolved and documented accordingly.
  • Maintains knowledge of HRIS and payroll processing system enhancements and changes in wage and tax laws to assist HR and management with problem resolution. Maintains knowledge of Boundless payroll policies and procedures and ensures compliance with company policies, wage scales, and state & federal regulations. Reviews payroll and HRIS training system monthly and participates in necessary seminars for continued growth and development and the most efficient and effective use of the system.
  • Reviews, researches, and assists Boundless finance with reconciliation of general ledger account discrepancies and data integrity issues. Assists HR Management with various research projects and/or special projects.
  • Other duties as assigned to support the general purpose of the position’s function.
 
Position Requirements

Required Education/Experience

  • Bachelor’s degree in HR, Accounting, or other related business practice.
  • Excellent knowledge of MS Office software is required
  • Knowledge of principles and practices of human resources, payroll law, and prior experience with HRIS systems
  • Five (5) years of HR/Payroll experience is required and one (1) to three (3) years of experience with ADP payroll systems is preferred
  • Five (5) to ten (10) years of general clerical experience is required
  • Must have very strong customer service skills and verbal/written communication skills

Preferred Education/Experience

  • Experience working in the field of intellectual and developmental disabilities.
  • PHR/SHRM-CP/CPP credentials
