Job Summary

This exempt position will be responsible for overseeing the administration of all clinical and non-clinical functions relating to the Point of Distribution (POD) for the COVID-19 Vaccine at Stony Brook University's Research and Development Park in Stony Brook, NY. This position is essential to ensure efficient operation of the POD. You will support other POD managers and employees through a variety of tasks.

Responsibilities include but are not limited to:

  • Arrive on site by 7AM.
  • Attend scheduled briefings at 7:15AM/ 10:30AM/4:00PM.
  • Ensure the event is properly staffed for anticipated volume of appointments.
  • Insure Pharmacy/ Medical Consult/ RN Screener/ Registration/ Eligibility staff/ Vaccinator staff/ EMS staff are prepared.
  • Notify NYSDEC Operations Lead to allow clients to enter.
  • Monitor activities throughout the day. Be available to NYSDOH and NYSDEC staff to answer any questions.
  • Update SBM Leadership Team calendar as required.
  • Early afternoon consult with Registration/ Eligibility lead to create Wait List.
  • Registration/ Eligibility lead will inform NYSDEC Operations lead of Wait List names in order for security to allow them on site.
  • Starting at 5:30 PM work with Vaccinator lead and Pharmacy to insure one vial used at a time.
  • At 6:30 PM contact NYSDEC Operations and insure all clients have departed their vehicles and none are waiting. If no waiting NYSDEC Operations will advise security team to close the entrance.
  • Consult with Vaccinator Lead and Pharmacy to ascertain if remaining doses are available.
  • If doses available call Wait List clients and advise them to enter. Insure they complete required documentation, medical screening and vaccination followed by 15 or 30 minute post vaccine observation period.
  • Notify those for whom there is not vaccine availability that they will be placed at the beginning of the following days Wait List.
  • Insure all stations are readied for next day and white boards are updated to reflect the 2nd dose return date for the next day.
  • Place timesheets out for the next day.
  • With Registration/Eligibility lead insurance all attestations, HIPAA forms, log sheets, and daily lists are collected and delivered to NYSDOH lead.
  • Complete end of day reconciliation form and provide copies as indicated.

Position Requirements

Qualifications:

  • LPN licensed required, RN license preferred.
  • Bachelor’s degree preferred.
  • Minimum 5 years of healthcare management experience required.
  • Candidate should have excellent computer skills.
  • Experience with Microsoft teams preferred.
  • Preferred experience with CDMS/HCS.
  • Strong organizational, communication and leadership skills are required.
  • Attention to detail and high level of accuracy.
  • Flexibility with the ability to multi-task.
  • Must be able to work 12-hour days, weekend flexibility a must.

 

In accordance with the New York State Department of Health (DOH) order that all hospitals and nursing homes “continuously require all covered personnel to be fully vaccinated  against COVID-19.”  Upon receipt of a conditional job offer, candidates who are not already vaccinated must obtain the first dose of the vaccine within three (3) calendar days of job offer and must obtain any subsequent doses in accordance with the vaccine protocol. The order allows for limited medical exemptions with reasonable accommodations, consistent with applicable law.

Physical Demands:

May spend a great deal of their professional day walking, standing, moving and manipulating equipment, as well as lifting and moving objects, equipment and supplies. Ability to lift 20 pounds. Moving, lifting or transferring of patients or objects may involve lifting of up to 50 pounds, as well as assist with weights of more than one-hundred (100) pounds. Requires the ability to stand for extended periods of time, bend or twist their body, as well as visual acuity.
