Summary

The Administrative Assistant provides coverage for the Early Head Start main office reception area and performs information technology tasks such as data entry, data analysis and provides technology support. This position also performs duties related to customer service, processing mail, and directing calls. The administrative assistant provides direct clerical support to the Mental Health and Disabilities Manager, Health and Nutrition Manager, PFCE and Governance Manager, Eligibility Director, and ECE Manager.

Essential Functions include the following. Other duties may be assigned.

Administrative Support (30%)

  • Answer multi-line telephone in a timely, courteous and professional manner, transfer calls, accurately receive and disseminate messages.
  • Answer questions from the community and families regarding operations, transportation, enrollment, etc.
  • Route incoming and outgoing mail.
  • Maintain postage machine.
  • Route inter-office mail. Maintain inter-office envelopes.
  • Scan, send, and receive faxes.
  • Greet, assist and direct all visitors in a courteous manner.
  • Keep pamphlets and eligibility application bins filled with current materials.
  • Maintain office equipment, order supplies as needed and be proficient in the use of office equipment.
  • Attend committee meetings as assigned meeting recorder.
  • Ensure security of building at all times.

Service Areas Support (Health, MH, Dis, ECE, Nutrition, PFCE, ERSEA) Assistance (25%)

  • Assist the program managers in providing clerical support (creating flyers for parent meetings, correspondence, minutes, distribution of minutes, scheduling team meetings, etc.).
  • Provide support with child and family database training and troubleshooting issues. Train staff on database use and data entry.
  • Assistance and oversight of data collection for all service areas (sample monitoring, running reports, identifying trends and patterns across service areas).
  • Coordinate dates for staff CPR/first aide training.

Data Entry (20%)

  • Run attendance and other program reports. Review for accuracy and completion. Provide report to appropriate manager.
  • Assist with data entry of eligibility applications including recording and mailing requests for eligibility applications.
  • Monitor electronic child and family records captured within the program’s database system for accuracy and completeness, including but not limited to attendance, meal counts, health, family engagement, and education data.
  • Generate monthly dashboard summary reports providing a snapshot of the accuracy and completeness of records in all databases.

Information Technology (15%)

  • Create account requests for new hires and/or staff position changes and ensure appropriate access.
  • Train new hires on IT access through email and other IT needs.
  • Partner with outsourced IT team to ensure all IT needs are met.
  • Trouble shoot first level IT issues with staff and managers.
  • Aid in creating and implementing new IT features and/or needs.
  • Monitor and track IT inventory for all staff.
