Description

General Functions:

Responsible for conducting and overseeing all office administrative and clerical duties primarily, but not exclusively, relate to ongoing site projects. Document and verify project directives under the direction of General Manager. Functions include file management and record keeping.

OVERVIEW:

The Administrative Assistant is responsible for updating compliance documents that meet contractual, federal and local regulatory requirements of Katherine Landing Marina, a division of the Lake Mead National Recreation Area under authority of the National Park Service in Bullhead City, Arizona. The location is a large property with operations that include a motel, campgrounds, RV Park, restaurant and large marina with 892 boat slips. The Administrative Assistant works with the General Manager and integrated with the team to initiate, document, close and audit various projects that align with the coordination of compliance within the operations environment. The Administrative Assistant balances the competing project constraints and ensures that all projects are executed following the planned strategy in a timely and accurate manner.

GENERAL FUNCTION:

The Administrative Assistant will become the primary employee that will monitor the reporting responsibilities of the business as defined in the Operations Plan incorporated into the Contract with NPS (see supplemental attachment). The key areas of response are date sensitive and require drafting, revision and final approvals for each deliverable. Planning includes review of existing planning and methodology documents that may need research and revision. Third party resources include NPS, Insurance underwriters, legal and local regulators.

DUTIES & RESPONSIBILITIES:

  • Review and prioritize project activities and tasks with the guidance of the General Manager.
  • Maintain project schedule /calendar, statements of work, project work plans, budgets and other core project documentation with input from the management team.
  • Coordinate all resources required for successful execution of the project including among management team and agency partners.
  • Obtain proper approvals and alignment for project activities and work product from the management team.
  • Upon adoption, track and review the progress and performance of projects from the brand management team, agency partners, and several client departments. Identify and initiate changes to project plan and recalibrate as necessary.
  • Report and cross-communicate on project status on a regular basis, including day-to-day support team and agency partners.
  • Identify, assess, communicate and manage project risks in coordination with the site General Manager.
  • Preparation and retention of revision logs of all project assets, materials, and files.
  • Utilize application of Project Management software and other support as needed.
  • Gain a solid understanding of project management methodology including ability to develop detailed project reports etc.
 
Position Requirements

QUALIFICATIONS:

  • Associates Degree from accredited college or university. Strong verifiable experience in detail collection, organization and presentation of projects, legal briefs or similar activity may substitute in lieu of degree.
  • Must possess a valid Driver’s License with clean 3-year record. With no DUI's during the past 10 years.
  • Proficiency with Project Management Software/Work platforms or ability to quickly learn new Software platforms
  • Experience working with Microsoft Office (Word, Excel, PowerPoint).

Personnel Protective Equipment Used:

The employee will perform many tasks and functions alongside of, or in the presence of persons working in an environment which requires protective equipment. He/she shall always use the appropriate equipment to ensure personal safety and the safety of workers.

PROTECTIVE EQUIPMENT:

  • The Administrative Assistant will responsively use various office tools and equipment on a daily basis. The Administrative Assistant will be knowledgeable in the safety practices and standards set by the company, relative to the work environment he/she operates in.
