This is a role that requires a multi-disciplinary team approach to solving problems and patient challenges. "That's not my job" or "someone else can do it" is not in our team vocabulary because we are here to be of support to each other. The primary goal is to bring the best patient care and experience for our area's children.

Assists the clinical team and healthcare providers with coordinating the various activities on the clinical floor to ensure patient (parent) and provider satisfaction. Assists with preparing charts, ensures the needs of the patient are being met in a timely and efficient manner, prepares letters, scans orders and coordinates various healthcare services. The Unit Clerk is the clinical team's liaison to outside agencies such as Make-A-Wish, NCCF and Candlelighters. This is a full-time 40 hours a week position that reports directly to the Patient Experience Director.

Responsible for building effective working relationships with healthcare teams and community resources; the Unit Clerk requires excellent organizational skills, critical thinking skills and the ability to work in high stress situations.

a) Prepares and compiles patient records as directed by provider.
b) Ensures that infusion orders are complete as directed by provider; including any required anaphylaxis orders or other special needs based on the individual patient.
c) Answers telephone and intercom calls and provides information or relays messages to patients and medical staff as needed.
d) The Unit Clerk is responsible for any necessary forms for the patients (FMLA, school notes, letters, etc…), performing receptionist duties and communicating with other departments and areas within the facility.
e) Required to work directly with the providers to provide high quality customer services, such as rapid turnaround of letters, on the spot completion of school notes, and the dissemination of educational materials.
f) Ensures that the EHR has all required current demographic information, including preferred pharmacy, email addresses and other meaningful use targets.
g) Participates in the monthly staff meetings, in-services and other committee assignments as needed to improve the patients/parents experience at our facility.
h) May be required to call and confirm appointments, relay messages from nurse's or providers to patients/parents, and give lab results as advised by provider.
i) May be required to gather hospital billing information and complete internal billing slips.
j) Responsible for coordinating various healthcare services.
k) Coordinates with specialty pharmacy to fill specialty medications that are ordered by the provider.
l) Take meeting minutes for various committee meetings.
m) May need to arrange providers schedule for meetings and update their calendars.

Position Requirements

QUALIFICATIONS: High School diploma or GED required. Health Care industry experience required. Medical terminology is required. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill and / or ability required. Reasonable accommodations' may be made to enable individuals with disabilities to perform the essential functions.

EDUCATION AND EXPERIENCE: Experience in a managed care environment preferred. Thorough knowledge of customer service, utilization review and how to set up home care, hospice or specialty infusions. Physician office experience is recommended.

KNOWELDGE, SKILLS, AND ABILITIES: Find creative solutions to patient barriers. Some patients utilize commonly used services, but others have unique needs that require initiative and creative thinking to locate the appropriate resource.

Unit Clerks need the following characteristics:

  • good organizational and time management skills
  • excellent oral and written communication skills in English including fluency in medical terminology (Spanish speaking is a plus)
  • good at multi-tasking
  • the ability to work efficiently despite frequent interruptions
  • the ability to pay close attention to detail and maintain a high level of accuracy
  • emotional maturity and the ability to handle stress
  • the ability to maintain patient confidentiality
  • good interpersonal skills especially the ability to effectively manage difficult behaviors sometimes exhibited by people in distress
  • the ability to work with minimal supervision as well as in a team environment.

They should enjoy working with people, operating computer and related equipment, and compiling information.

PHYSICAL and SESNORY REQUIREMENTS (with or without the Aid of Mechanical Devices): Position requires sedentary work, occasionally lifting up to 10 pounds. Carrying small objects short distances. Ability to sit for 6-7 hours daily at a computer terminal.

LANGUAGE SKILLS: Bilingual (English/Spanish) preferred, but not required.
