Medical Records - ROI Supervisor

Job Description

Under the direction of the VP and Director of Operations, and the general instruction of the Facility Contacts at the assigned facility, the Medical Records -  Release of Information Supervisor is responsible for providing direct supervision to the Release of Information Specialist team. The Release of Information Supervisor will also assist in the hiring, training and scheduling / coverage needs. In addition, Supervisor's may be expected to attend training sessions, seminars and meetings as needed.

$48,000 - $55,000 per year


  • Maintains a high level of professionalism and good rapport with clients
  • Maintains productivity, quality and assures customer service standards are met
  • Participates within all aspects of Customer Service while monitoring and maintaining the highest standards of Customer Service executed by the STAT ROI Specialists
  • Informs the VP and Director of Operations of all issues, complaints, incidents, etc. immediately
  • Performs work at assigned site in accordance with the facility specific procedures and STAT policies and procedures
  • Maintains confidentiality by keeping all information seen and heard in the facility in the strictest confidence
  • Answers and conducts business on the telephone routinely while maintaining excellent customer service skills


Authorizing Process:

  • Reviews Release of Information requests for validity according to applicable state or federal statutes
  • Returns inappropriate authorizations, and requests to the requester
  • Reviews the requests to determine which records are being requested
  • Looks up medical record numbers, fills out guides and pulls medical records, if so directed


Copying Process:

  • Scans the medical record and chooses the appropriate information to be photocopied, if so directed
  • Copies the appropriate pages for the requested records, if so directed
  • Re-assembles the charts (files) for re-filing
  • Logs information that is being sent to the requester either manually or using company software in accordance with the facility procedure
  • Documents the release of information in the patient medical record or other means determined by the facility


Invoicing Process:

  • Calculates the amount to be billed to the requester and prepares the invoice, if so directed
  • Certifies the copies of medical records when requested, if so directed
  • Prepares copies for mailing, by weighing and affixing postage or by processing the mail through the facility Mail Room, if so directed
  • Attends mandatory employee in-service meetings and/or training sessions, if so directed
  • Reports to work as scheduled and complies with Attendance Policy
  • Travel to assigned STAT Release of Information sites to provide training/coverage as needed. Will provide all of the required specified training/coverage at each particular site
  • Expected to frequently use the following equipment: Computers, Keyboard, Scanner, calculator, copy machine, phone (with voice mail), fax machine, and other general office equipment

Minimum Requirements:

  • Associates or Bachelors (HIM) Degree preferred
  • At least One year of related ROI and Management experience.
  • Ability to work in sometimes stressful environment.
  • Ability to perform team-oriented job tasks with a conscientious awareness of detail, accuracy and confidentiality.
  • Strong customer service skills.
  • Previous ROI and Workflow management experience.
  • Ability to know, understand and apply federal and state regulations.
  • Problem solving and critical thinking skills.
