About the Organization  
Description

The Recall Coordinator plays a key role in patient retention by handling the outbound calling efforts for supported markets to patients who are due for treatment. This person is responsible for contacting patients and scheduling appointments for consultations and additional medical services. Additionally, the Recall Coordinator works to re-engage patients who have fallen out-of-care. He/She also works closely with local offices and market leaders to ensure that accurate recall schedules are maintained. Depending on market size or support needs, the Recall Coordinator supports a single or potentially multiple markets.

 
Position Requirements

Essential Duties and Responsibilities

  • Makes outbound calls to patients to schedule appointments
  • Discusses treatment history/plan with patients and answer questions and concerns
  • Maintains an accurate log of call activity, including initial and follow-up calls, appointments scheduled, booked production, call outcomes and reasons for non-engagement
  • Works closely with the offices to ensure patients are scheduled accordingly to office guidelines
  • Contacting patients who have fallen out-of-care to return to United Medical Doctors
  • Notify office staff of special appointments made, including VIP patient appointments and when discount offers have been provided
  • Re-engage out-of-care patients through various incentives
  • Process and distribute weekly recall error reports to Practice Managers and provide guidance on inputting recall dates as needed
  • Communicate regularly with management monthly/quarterly update meetings
  • Confirm and update all customer information and appointment notes into the system database
  • Meet minimum quota of outbound calls per day
  • Creates an environment that promotes the United Medical Doctors Culture

Knowledge, Skills, and Abilities

  • Knowledge of UMD medical services, terminology and insurance plans
  • Experience with practice management software
  • Able to read, write, and speak English.
  • Able to use Microsoft Excel, Word, Outlook, and web browsers.
  • Bilingual English/Spanish as needed
