Operations Manager - Release of Information


Under the direction of the Director of Operations and V.P., the Operations Manager - Release of Information (ROI) engages in direct customer service and must perform duties and conduct interpersonal relationships in a manner designed to project a positive image of the Department, Facility and Company. The Operations Manager will work with team members, supervisors, and other members of the department to promote a harmonious work environment. The Operations Manager - ROI must at all times safeguard and protect the patient’s rights to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all Release of Information are in compliance with the request letter, authorization, company’s daily work flow policy and procedures and with HIPAA/state guidelines and regulations. Additionally, they are required to maintain a professional health care office environment on a day-to-day basis, working with confidential and personal health information in a conscientious manner and providing patients and other requestors with the appropriate level of service. In addition, the Operations Manager may also be required to assist in training and providing coverage at other sites as deemed necessary and/or in case of an emergency. The Operations Manager also introduces and trains new employees to the company in selected software, sets up safe training environment to facilitate practice on the software and answers any questions.

Job Duties and Responsibilities:

  • Maintains a high level of professionalism and good rapport with Co-workers and HIMDs.
  • Follows up with employees to answer any questions he/she may have after using system.
  • Establishes a positive environment in which employees are comfortable to ask any question and receive a positive/timely answer.
  • Responsible for training of Cobius, Ring Central, EMR and troubleshooting issues.
  • Re-educates employees on new features as they come available.
  • Assists in creating a Software Training Guide for employees.
  • Monitors practice tasks through the EMR system and communicates with employees on issues.
  • Provides daily progress/summary report in relation to volume of work received, pending and completed to immediate Manager of Operations.
  • Interacts with requestors to identify medical records needed for patient care, review,billing or release of information.
  • Reviews Request Letter and Validates Signed Patient Authorizations.
  • Prioritize Release of Information requests, performs look up/search in EHR’s Master Patient Index (MPI) to ID each request
  • Handles all requests and inquiries for patient health information whether received via mail, fax, phone or in-person.
  • Provide excellent customer service by being attentive and respectful; insures understanding of customer request and follows-through as promised; and being proactive in identifying client concerns, or problems. Helps resolve customer service matters in a polite manner.
  • Performs at established quantitative and qualitative work standards to meet Company’s monthly goals and objectives.
  • Informs the Supervisor and Director immediately of any system/printer/retrieval of paper charts access related issues, HIMD relayed complaints, patients’ incidents, etc., to allow Operations Mgt. to assess and remediate promptly.
  • Attends mandatory team member in-service meetings and training sessions as required by Client and Company.
  • Responsible for following P-Card Policy Reconciliation and documentation process.
  • Other responsibilities may require extended evening hours and travel to other facilities to complete training assignments or coverage. All other duties as assigned.


Position Requirements

Minimum Requirements:

  1. Associates or Bachelors (HIM) Degree preferred
  2. At least One year of related ROI and Management experience.
  3. Ability to work in sometimes stressful environment.
  4. Ability to perform team-oriented job tasks with a conscientious awareness of detail and accuracy.
  5. Strong customer service skills.
  6. Previous ROI and Workflow management experience.
  7. Ability to know, understand and apply federal and state regulations.
  8. Problem solving and critical thinking skills.


  1. Previous knowledge and experience in a release of information environment, medical office or medical records department.
  2. Prior HIPAA Knowledge preferred and Medical Terminology class is strongly encouraged.
