GENERAL DESCRIPTION:

The Office Assistant provides administrative and classroom support to the Manager of Administrative Service and Head Start and Early Head Start Support Staff.

MAJOR RESPONSIBILITIES:

Answer multi-line phone lines. Gives accurate and pertinent information.

Greets staff and check temperature, parents, and visitors upon arriving and departure from the office. Gives courteous attention.

Checks voice mail in general mailbox and relays messages to appropriate staff.

Keeps Office areas neat and organized. Maintain clean, inviting space for visitors – (swiping the reception area on the administrative side daily)

Receives and distributes all mail, packages and deliveries and collecting packing slips

Schedule all events on our conference/training rooms. (Helpdesk Tickets-Meeting Space)

Help maintain all copiers – order supplies, change toner, clear jams, and basic support.

Maintain the extension list and center list for the agency.

Assist with the organization and implementation of special events.

Ensure breakroom, meeting/training/conference rooms are clean and fully stocked.

Assist with HelpDesk tickets for food ordering. (Helpdesk Tickets-Food Orders)

Ability to provide classroom coverage as needed.

Assist Directors while visiting Skylark or working remotely.

Assist Manager of Administrative Services in performing duties necessary to maintain the success of ECS.

ORGANIZATIONAL RELATIONSHIP:

This position reports to the Manager of Administrative Services.

 
Position Requirements

EDUCATION AND EXPERIENCE:

  • Associates degree preferred
  • 1-3 years related administrative experience
  • DCF 45-hour training required with specified timeframe

(A comparable amount of training, education or experience can be substituted for minimum qualifications.)

SKILLS, KNOWLEDGE, AND ABILITIES:

  • Excellent people skills and ability to work well with a broad range of people
  • Ability to communicate effectively both orally and in writing
  • Ability to answer multi-line phone system in an appealing manner and direct phone calls accordingly
  • Ability to multi-task, prioritize and work in a fast-paced environment
  • Knowledge of Microsoft Office products
  • Ability to perform with little direct supervision
  • Ability to work with employees and the public in a tactful and professional manner
  • Ability to exercise good judgment and emotional maturity
  • Ability to maintain confidential information
  • Ability to plan and organize work as well as maintain records and prepare reports

LICENSES, CERTIFICATION, OR REGISTRATIONS:

  • Valid driver’s license

ENVIRONMENTAL CONDITIONS:

  • Works in an office environment
  • Local travel to multiple sites may be required

ESSENTIAL PHYSICAL SKILLS:

  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without correction)
  • Ability to communicate both orally and in writing
  • Ability to lift up to 50 lbs.
