Description

JOB PURPOSE:

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Senior Director. The Executive Assistant organizes and coordinates executive outreach and external relations efforts; and oversees special projects. This position oversees the planning, implementation, and tracking of specific projects, including grant applications, and compiles various data from program operations. This position ensures the most efficient administrative procedures for projects and also ensures excellent communication with Senior Director and his/her direct reports.

ESSENTIAL JOB RESPONSIBILITIES:

Administrative support

  • Manage calendars/appointments for Senior Director
    • Handle requests for meetings for the Senior Director’s schedule; prioritize, confirm and prepare handouts to ensure executives are prepared for meetings.
  • Meeting preparation: responsible for reserving rooms, logistics and all meeting related activities.
    • Attend meetings, as assigned. Take notes and update project lists. Follow up to ensure that appropriate next steps are taken.
    • Maintain important details, agendas, relevant background and other materials associated with each meeting.
    • Confirm address, attendees and collaterals needed.
  • Correspondence/Presentations
    • Draft and/or compose correspondence, proposals, reports, and other documents on behalf of the Senior Director.
    • Provide presentation support, including developing Prezi, Excel Spreadsheets or other presentations and reports.
  • Monthly Program Updates
    • Send communication to Program Directors to submit monthly program activity.
    • Coordinate with Program Directors to compile data and financial information.
    • Review updated slide deck with Senior Director for edits
    • Submit final program update presentation to COO and COO executive assistant.
  • Assist Senior Director with business travel arrangements.
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Manages files and makes copies.

Project Planning

  • Define the scope of the project in collaboration with Senior Director.
  • Create a work plan which identifies and sequences the activities needed to successfully complete the project.
  • Determine the resources (time, money, collaterals, etc.) required to complete the project.
  • Develop a schedule for project completion that effectively allocates the resources to the activities.
  • Review the project schedule with staff that will be affected by the project activities; revise the schedule as required.
  • Determine the objectives and measures upon which the project will be evaluated at its completion.
  • Ensure project has adequate resources; including staff.
  • Execute the project according to the project plan.
  • Develop forms and records to document project activities.
  • Set up files to ensure that all project information is appropriately documented and secured.
  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project.
  • Establish a communication schedule to update stakeholders; including appropriate staff in the organization on the progress of the project.
  • Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards.
  • Write reports on the project for Senior Director.
  • Detail and track assignments and ensure follow-through.
  • Close the loop on completed projects.
  • Summarize lessons learned, notate dates if applicable.
  • Evaluate the project.

Other Key Duties

  • Conduct research as requested including, but not limited to constituents, regulations, and topics as assigned.
  • Organize and maintain documents in a paper or electronic filing systems.
  • Draft correspondence and track contracts and agreements etc.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Keep abreast with all organizational changes.
  • Demonstrate exceptional customer service, in everything you do, by placing the child, family, Veteran, or client first to support our mission to “Empower people to build better lives for themselves, their families, and their communities.”
 
Position Requirements

 

ESSENTIAL QUALIFICATIONS:

EDUCATION: Associates degree; Bachelor’s degree preferred.

EXPERIENCE: Proven experience in project management and executive administration with an in-depth understanding of administrative procedures.

ADDITIONAL REQUIREMENTS: Ability to document and present research and related information.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined at the employer’s sole discretion. Works business hours but position requires support before and after work day and weekends as assigned.

LICENSES: Drivers License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.

 

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

 

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES: 

COMMUNICATION: Ability to develop effective working relationships. Ability to present a friendly and positive demeanor to board, clients, staff and the general public. Ability to communicate clearly and effectively via oral or written means.

COMPOSURE: A team player with leadership skills. Ability to adapt quickly to changing deadlines. Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Proficient knowledge of MS Office; Prezi and SharePoint preferred.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. An analytical mind with problem-solving skills.

FINANCIAL: Strong math skills, 10 key by touch, proof reading skills.

MATHEMATICAL SKILLS: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

ORGANIZATION: Ability to keep various on-going projects organized and files maintained accurately. Above normal levels of concentration and memory required. Requires good time management practices and the ability to meet multiple deadlines.
