SUMMARY

Under the direction of the VP of International Marketing, the Export Coordinator will provide support to the international sales team and will be the link between Opus One International office and Opus One Winery departments. This position will be responsible for achieving high accuracy through Opus One's values to ensure high luxury service and operational excellence.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  1. Assist in running the négociants offer process with the international team
  2. Support and maintain any International documentation: SEC, WEC, and any special requests
  3. Send and follow Direct export offers (South and Central America, Caribbean's)
  4. Send and follow Special offers (top on trade program, large formats, events…)
  5. Support on samples shipments
  6. Provide sales and marketing support for our international sales team (samples orders, POS, communication…)
  7. CRM: support for implementation and regular update
  8. Support summer main shipment / JFH US support
  9. Manage data for shipments, including LDC and provide support for many steps of the packaging process
  10. Prepare and forward accurate and timely invoices to clients
  11. Manage stock/inventory follow up with OOI office
  12. Timely management of multiple lines of communication between négociants, shippers, customers and internal departments, maintaining details, and relaying pertinent information to appropriate parties
  13. Generate, file, maintain up-to-date customer records, reports, documentation, database, etc.
  14. Perform data entry into NAVISION data system and provide follow up as needed
  15. For any special matter, the coordinator will be able to assist any other department at the winery, after VP's approval

Position Requirements

JOB REQUIREMENTS

Education and/or Experience

Minimum five (5) years’ experience in administrative tasks in sales and marketing departments. Knowledge of export markets and high-end luxury wine brand would be a plus.

Skills

High level of proficiency with Microsoft office suite and data base management. Knowledge of set up and operation of programs such as Skype, Go-To-Meeting, etc. Must be proficient in and able to train/assist sales force in Microsoft Office Suite, CRM, Egnyte and MS Sharepoint. Experience in Navision preferred.

Excellent command of written and spoken English. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands

While performing the duties of this job, the employee is regularly required to use hands and/or fingers to handle or feel. The employee frequently is required to sit and reach with hands and arms. The employee is occasionally required to stand; walk, climb, stoop, kneel, talk or hear, and taste or smell. Employee must be able to sit for periods up to four (4) hours. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision.
