Description

Position Description Summary:

The Administrative Assistant provides a wide range of administrative and office support activities for the President, as well as the Accounting, Human Resource and Production departments to facilitate the efficient operation of the organization.

Responsibilities and Duties:

  • Promote and adhere to the Core Values and Behavior Code.
  • Answer, screen and transfer inbound calls. Receive and direct all visitors and guests ensuring proper safety procedures.
  • Perform general clerical duties including, but not limited to photocopying, faxing, mail distribution, filing, and scheduling.
  • Coordinate meetings and company events as needed.
  • Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed.
  • Coordinates employee travel arrangements as needed.
  • Maintain the appearance and organization of the front lobby, conference room, office supply room, supply cabinets and kitchen.
  • Support the Human Resource Department with the new hire process and on-boarding.
  • Assist the Accounting Department with accounts payable as needed, including file creation, and document retention.
  • Provide on-going support for the Production Department with a variety of duties including quotes, purchase orders and shipments.
  • Strive to develop personal and professional skills.
  • Promote company goals with a focus on Safety, Quality, and Production.
  • Perform other duties as assigned.
 
Position Requirements

Education/Experience:

  • Associates Degree preferred, or equivalent combination of education and experience.
  • 1-3 years administrative experience.

Knowledge, Skills and Abilities:

  • Strong attention to detail and proven organizational, communication, and administrative skills.
  • Exceptional customer service skills, over the phone and in person, with both internal and external customers.
  • Proficiency in office technology including Microsoft Office Suite.
  • Self-motivated and able to prioritize and multi-task in a fast-paced environment.
  • Adaptability and flexibility to shift priorities based on the organizations’ needs.
  • Ability to work independently as well as with the team.
  • Integrity, professionalism, discretion and ability to maintain confidentiality are essential.

Physical Demands/Work Environment:

This full-time position operates in a professional office environment and routinely uses standard office equipment including computers, telephones, photocopiers, filing cabinets and fax machines throughout the day as needed to conduct business. Physical effort consists of frequent handling of light to average weight materials and may require ability to lift files, open cabinets and bend as necessary.

Ear plugs (required in production areas)
