GENERAL PURPOSE OF POSITION:

The Human Resources Assistant is primarily responsible for providing administrative assistance to the Human Resources office, answering benefits questions, scheduling HR related meetings and assisting with HR functions as outlined below.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Maintain time and attendance records and provide reports as requested.
  • Respond to general staff questions and inquiries related to human resources.
  • Prepare general correspondence as required
  • Assist employees with sick, vacation, and personal time balances and ensure that absence report forms are received and recorded.
  • Provide HR Director with end of the pay period reports
  • Maintain employee personnel records in accordance with applicable legal guidelines.
  • Maintain the electronic file of job descriptions including revisions and updated language; ensure common format is included for the National ministries.
  • Create employee ID badges
  • Update and maintain staff pictorial and UCC staff directories.
  • Schedule required training sessions and general workshops; keep a record of the number of attendees.
  • Prepares the HR Newsletter
  • Order departmental supplies, forms, and resources for staff, including food for meetings.
  • Serves as back-up to the recruitment effort for all exempt and non-exempt positions, students and temporary employees; writes and places advertisements, monitors career-pathing portal.
  • Assist with hospitality during interview process and administer pre-screening tests.
  • Serve as a back-up to attend Safety Council Meetings
  • Assist with pulling together forms and resources for benefits during open enrollment
  • Prepare new employee orientation packets; assist with hospitality during orientation.
  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Other duties as assigned
 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • College degree plus a minimum of three years office administration experience with willingness to take appropriate initiative for the effective operation of the office.
  • Previous experience in a Human Resources environment.
  • Ability to exhibit a high level of confidentiality
  • Proficiency in MS Word, Excel, Outlook, and databases; experience with an HRIS and time and attendance system preferred.
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills.
  • Sensitivity and desire to work in a multicultural, multiracial, open & affirming accessible to all environment.
  • Commitment to service and creating a welcoming and hospitable environment
  • Well organized and strong attention to detail
  • Self-starter and ability to prioritize work
  • Team player
  • Demonstrate ability to work collaboratively and collegially as well as independently.

OTHER:  Due to COVID-19, this position will require part-time work from home and part-time in the office.
