The Data Maintenance Specialist is primarily responsible for performing system maintenance, research, support, document review and cleansing tasks in our CRM and rep management software systems. Data Maintenance Specialist works closely with several teams internally (Software Development, Business Systems and System Maintenance), as well as interact with our partners in the financial industry regarding data transmissions.



  • Analyzes and applies advanced systems analytics to evaluate products and related performance.
  • Performs quality assurance testing using independent judgement and advanced technical knowledge within Unio.
  • Research problems or questions given by other departments regarding Unio components or features, or its display of outside information from data providers.
  • Edits forms associated with new account opening based on business requirements.
  • Identifies and establishes scope and parameters of requirements analysis on a project-by-project basis to define project impact, outcome criteria, and metrics.
  • Works with stakeholders and project team to prioritize collected requirements.
  • Manages and tracks the status of requirements throughout the project lifecycle; enforce and redefine, as necessary.
  • Develops and utilizes standard templates to write requirement specifications accurately and concisely.
  • Translates conceptual customer requirements into functional requirements in a clear manner that is comprehensible to developers/project team.
  • Reviews data files from providers using a working knowledge of FTP
  • Builds and maintains relationships with external data providers to acquire and track data files, and maintain proper schedules
  • Research opportunities for data files from fund and insurance companies by running reports and utilizing third party web site info, uses FTP to retrieve data files and examines them when needed due to questionable information being sent.
  • Writes and runs advanced system reports to identify discrepancies in Unio and corrects discrepancies
  • Creates and modifies users and workgroups into Unio, submits branding logos for reps into Albridge, enters and maintains contact and company information into Unio for tracking purposes.
  • Finds and eliminates duplicated and incorrect client or advisor data in Unio.
  • Maintains a high-level of system knowledge, and uses that knowledge to provide support and research for internal business units

Position Requirements

Skill and Experience Requirements:

  • Associates Degree in Computer Science or related technical school education, or minimum 2 years related experience or a combination of education and experience.
  • Financial industry experience helpful, but not required.
  • Must have strong organizational skills and follow through for timely customer response.
  • Excellent communication and customer service skills are a must.
  • Quick problem solving and prioritizing is essential.
  • Medium to advanced computer skills is required.
  • Medium to advanced Adobe (Acrobat, Indesign) skills.
  • Advanced computer, writing, and business skills, and some coding knowledge or experience required.
  • Good record and contact keeping is mandatory.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to write routine reports and correspondence.
  • Must have the ability to identify, analyze, and solve problems of a complex nature in a timely manner.
  • Must have the ability to make suggestions on how to improve processing and/or technology, streamline functions within the department and the ability to get to the root cause of a problem and fix the problem, not just on the surface.
