Description of duties and responsibilities

  • Provides administrative support to program staff that will be necessary to program operations, such as tracking outreach efforts, client outcomes, administering client assistance funds, and scheduling stakeholder meetings. Responsibilities include but are not limited to:
  • Provides administrative and clerical support to team and confirms appointments, prepares, and handles correspondence, filing, answers phones, organization of monthly reports, and taking minutes at team meetings.
  • Assures departmental goals and/or objectives are accomplished within prescribed time frame by performing the following duties personally
  • Maintains files, which includes typing of data, the opening and closing of case files at termination
  • Assures office equipment is working properly i.e. copy machine, fax, telephones and computers or contacts necessary repair personnel to fix the problem
  • Assures there is an adequate supply of forms
  • Fulfills diverse professional responsibilities and attends meetings and training as required or requested
  • Works well and professionally with public, consumers, staff, and management
  • Part of a multidisciplinary team 
 
Position Requirements

Education/Qualifications

  • High School Diploma or graduate from Secretarial School. Experience in secretarial or support services. Must have general clerical skills (i.e. typing, filing, data entry, and telephone reception). Strong organizational skills
  • Reports directly to the Bergen TRC Program Coordinator
  • Ability to write reports and business correspondence.
  • To perform this job successfully, an individual should have knowledge of Microsoft Office programs, including Word, Excel and PowerPoint, and internet software
  • Strong communication, organization, and problem-solving skills
  • A valid driver’s license and must be insurable by agency’s automobile
