GENERAL PURPOSE OF POSITION:

Provide administrative and logistical support to projects, programs, and networks of UCC Wider Church Ministries that are administered by the Global H.O.P.E. team (sustainable development, volunteer engagement, refugee and asylum programs, and disaster response and recovery ministries). Participate as part of the Administrative Support Network for communal support across the ministries as necessary.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Provide administrative support to the Team Leader.
  • Coordinate team meetings, communications (including web and social media update calendar), and shared resources.
  • Record notes and action minutes at team meetings and prepare briefs on key program issues, as assigned.
  • Maintain and manage team members’ calendars and coordinate and submit content for the team calendar to inform others of activities and whereabouts.
  • Assist in drafting, editing, and disseminating written communications and in responding to email and other correspondence for the team.
  • Arrange travel reservations and organize travel logistics for program ministers.
  • Maintain accountability to administrative systems and procedures, including submitting expense reimbursements and credit card reconciliations by the deadlines.
  • Participate actively in staff meetings and retreats when requested.
  • Maintain a thorough knowledge and understanding of the team’s budget as well as Special Funds.
  • Create and accurately maintain databases related to Global H.O.P.E. financial records and provide administrative support services for distributing funds
  • Serve as administrative liaison for program areas, maintaining accurate and up-to-date contacts and distribution lists and assisting with meeting planning and implementation, including conference disaster coordinators, volunteer networks, and sanctuary churches.
  • Produce and maintain programmatic print and on-line resources for all programs, including volunteer recruitment materials, mission trip opportunities, Partners in Service information, and network directories.
  • Coordinate services with vendors for health insurance for volunteers & background checks.
  • Process credentials for conference networks, such as Conference Disaster Coordinators.
  • Initiate and receive phone calls and correspondence by mail, e-mail, or on-line platforms by responding directly to questions and/or forwarding to appropriate staff.
  • Keep office files current and in order for efficient information retrieval.
  • Serve as a recorder for meetings as needed.
  • Perform other duties as necessary and appropriate.
 
Position Requirements

MINIMUM QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills and/or abilities required to perform successfully in this position.

  • High School Diploma or equivalent plus a minimum of 3-5 years successful secretarial/administrative experience, including budget monitoring with strong mathematical ability.
  • Excellent English language skills—spelling, punctuation and grammar are essential as well as the ability to communicate effectively both orally and in writing.
  • Human relations skills to interact effectively with persons of diverse backgrounds and cultures; to collaborate with capacity for relationship building; and to communicate in ways that value customer service and partner relations.
  • Must be able to work independently and as part of a team.
  • Commitment to understand the history, program, and structure of the United Church of Christ and UCC’s Wider Church Ministries, as well as Church World Service, Action by Churches Together, and other partner organizations.
  • Must be able to exercise a high degree of judgment and discretion in dealing with confidential and sensitive information.
  • High degree of computer competence including knowledge and proficiency in Microsoft Word, Excel spreadsheets, and experience with Filemaker Pro and Access databases. Electronic correspondence experience is necessary.
  • Knowledge of, or ability to learn, Raiser’s Edge software.
