Position Office Manager for Landings Marinas  

The Landings Association is currently looking for an Office Manager to provide administrative and customer service support for the two marinas located within The Landings -- Landings Harbor and Delegal Marina. This includes answering phones, greeting and assisting customers, responding to and assisting with resolving customer issues and/or complaints, maintaining logs and records, and ordering and maintaining inventory for Landings Harbor Dock Store.

Organizational Relationships

The Marina Office Manager reports directly to the Marinas Director and orks regularly with other department and TLA team members. Has frequent interaction with Landings residents, boaters, store customers, employees, and vendors.

Duties and Responsibilities

  1. Answers telephone and greets visitors, providing information, assistance and problem resolution.
  2. Executes sales transactions for store customers and boaters using a Point of Sales system.
  3. Handles all department accounting functions to meet financial objectives and to ensure accurate recordkeeping and assists in creating and monitoring budgets.
  4. Processes and prepares department purchase orders and invoices to ensure proper submittal.
  5. Monitors and manages store inventory and purchases items for store and Marina supplies.
  6. Prepares documentation for capital and reserve projects for approval and execution.
  7. Maintains stock of consumable items, marina supplies, and Landings Harbor Marina store inventory.
  8. Track and manage vessel inventory at both marina facilities (dry rack storage, wet slip rental, kayak storage, and Jet Ski racks).
  9. Performs and supports employees and department personnel with administrative tasks such as meeting management, timekeeping, leave requests, and document/presentation preparation.
  10. Prepares and processes department purchase orders and invoices to ensure proper submittal.
  11. Maintains and updates the department's standard operating procedures regularly to ensure accuracy.
  12. Writes and distributes weekly department report.

Position Requirements

  • Strong customer service orientation with a demonstrated ability to interact with residents and other customers with a high degree of tact, courtesy, and friendliness.

  • Ability to learn and understand all functions of the Marina.

  • Strong critical thinking skills, with ability to solve problems and effectively resolve conflicts.

Minimum Qualifications Needed

  • At least three years of experience in a busy office with high call volume.
  • Strong knowledge of office machines, methods, and processes.
  • A valid driver’s license with insurability at normal risk rates.
  • High school diploma or equivalent, with a college degree preferred.
  • Excellent computer skills with ability to learn other computer software quickly, including a Point of Sales (POS) system. Proficiency in Microsoft Office products, particularly Word, Excel, and PowerPoint.
