Payroll and Benefits Administrator  


Position Summary: The Payroll and Benefits Administrator serves as the Subject Matter Expert for all Convivial Brands Payroll, Worker’s Compensation, Employee Health, and leave procedures, claims, and benefit programs.

Principal Duties and Responsibilities:

Payroll Processing:

  • Prepare and process bi-weekly and monthly payroll for all employees.
  • Works with the Recruiting and Onboarding Manager to set up new employee records, pay codes, PTO and sick pay accruals, taxes, deductions, and employee direct deposits to ensure they are accurately set up during the onboarding process.
  • Process off cycle payroll runs for items such as discretionary bonuses, retroactive pays, etc.
  • Establishes checks and balances to ensure payroll compliance and accuracy.
  • Responsible for processing all compensation adjustments and/or bonus/commission/incentive payments in accordance with Convivial Brands compensation philosophy and other related company policies.
  • Processes payroll deductions: benefits deductions, 401k contributions, employee garnishments, and child support orders.
  • Reconciles all employee deductions monthly and resolves any payroll issues.
  • Responsible for all payroll tax activities, including compliance with local, state, and federal regulations.
  • Oversees the balancing and submission of employee and company match for 401(k) contributions.
  • 401k Administrator including enrollment, deferrals, withdraws, audits, controls and compliance.
  • Perform year end payroll functions, including gathering and reconciling financial data for 401(k), coinsurance premiums, etc.
  • Process year-end W-2's and related year-end filings and quarterly filings.
  • Works directly with payroll software representatives (Paycom) to ensure the system runs effectively.
  • Develops payroll procedures by recommending improvements or changes when deemed necessary for greater efficiency.
  • May perform periodic internal audits of various payroll areas and prepare materials for external auditors or management.
  • Prepare and distribute documentation/reports for each department biweekly to include a zero hours report, overtime report, and turnover report for each department.
  • Responsible for auditing Paycom to ensure Worker’s Compensation rates are accurately reflected for each position.
  • Works with WC broker to provide data for annual audit.
  • All other duties as assigned.

Benefits Administration:

  • Manage the open enrollment and continued benefit administration throughout benefit year. This includes making necessary updates for employees to their current plans, discussing changes in options or life events, as well as termination of benefits.
  • Make necessary changes to benefit elections in payroll service provider site to reflect through payroll as well as manually enrolling employees in coverage where carrier feeds are not set up due to plan enrollment size.
  • Responsible for COBRA administration through 3rd Party.
  • Manage and process any 401(k) plan changes/elections in the payroll software as well as field any questions regarding rollovers/transfers/distributions.
  • Work with VP of HR to vet viable benefit solutions for employees throughout the year.
  • Responsible for monthly auditing of the ACA reports in Paycom.

FMLA/Employee LOA:

  • Effectively oversees administration of leave of absence policies and compliance with organizational policies and applicable laws.
  • Enters PTO or Sick Pay time for employees off on a leave of absence to run in conjunction with FMLA or their personal leave.
  • Daily management of FMLA, medical, and personal leaves to include issuance of paperwork, tracking deadlines, following up with medical providers, monitoring benefit premiums, maintaining communication with the employee and their supervisor/s.
  • Manages and tracks FMLA/LOA and STD claims, and corresponds with employees on leave in regards to continuation of benefits and their premiums.
  • Responsible for tracking/reporting employees worked time in conjunction with their supplemental pay accurately in Paycom and Mutual of Omaha while an employee is on a leave of absence.
  • Monitor benefit premiums to ensure deductions/payments are being collected from team members who have not earned enough in their check to cover their deductions (i.e., someone working a reduced schedule).
  • Works with the Recruiting and Onboarding Manager to ensure job descriptions are up to date and accurate for purposes of FMLA and ADA accommodation.

Workers Compensation:

  • Serve as the injured employee’s contact at Convivial Brands, responsibilities include injury reporting to RTW, referring cases to the Occupational Health provider when appropriate; contacting providers to clarify information and follow-up; contacting the supervisor for return to work and coordinating transitional work or light duty, etc.
  • Manages worker’s compensation claims administration function to ensure timely reporting of losses to carrier.
  • Ensures regular communication with claimants to obtain information to reduce liability.
  • Educates staff regarding the leave process, as well as managers/supervisors of their role.
  • Ensures OSHA injury/illness records (300A, 300, 301) are completed maintained for annual reporting and required posting.
  • Responsible for quarterly workers compensation reports and payments for all monopolistic states.
  • Responsible for auditing Paycom to ensure Worker’s Compensation rates are accurately reflected for each position.
  • Works with WC broker to provide data for annual audit.
  • All other duties as assigned.
