Position Summary:

As the Director of Catering and Conference Services, you are responsible for the management of all aspects of the Catering and Conference Services departments in accordance with resort brand standards. Coordinate details and menus for clients' functions and maintain budgeted revenues through solicitation of business. Monitor and control financial and administrative responsibilities, grow event revenues and maximizing the financial performance of the department, including asset protection. Assist in the development and implementation of departmental strategies ensuring the highest level of service by training and developing staff and executing the requirements of events based on standards.

Essential Functions:

  • Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Outlook, Delphi
  • Supervision and overall responsibility of the Catering function including maintaining and monitoring the accuracy and effectiveness of all written communication from Catering Manager and Catering Administrative Assistants. These procedures include but are not limited to: Menu and Event Proposals, Contracts, Banquet Event Orders, Catering Resumes, Daily Events Report, and Delphi Input Standards.
  • Actively prospect and solicit, develop, and maintain local corporate catering accounts through telephone, personal sales calls, trade shows, and on-site entertainment.
  • Finalize the requirements of personally booked catering events while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
  • Check and provide bill review on completion of program or event.
  • Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.
  • Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Staff Meeting, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Menu Tastings and Planning Site Visits.
  • Conduct performance evaluations and mentor for Catering and Conference Services team. In addition, recommend the hiring, terminating or disciplining of any Catering or Conference Services team members. Respond according to the crisis management plan to any resort emergency or safety situation.
  • Ability to handle multiple guest and operational demands with a high degree of professionalism, operating often with time sensitive deadlines.
  • Ability to operate independently and with a high degree of autonomy requiring excellent time management skills and self-motivation.
  • Hotel product and industry knowledge, i.e., staffing, operations, safety, security, structural, terminology, fire, police and health codes, hotel policies, city ordinances.
  • Initiate verbal and written communication (group resume, weekly pick up, post event report, banquet event orders etc.) with guest and internal team in a proactive manner relative to payment structure, room block management, food and beverage, public room rental and exhibit hall fees, incremental and affiliate revenue streams, performance damages and master billing process.
  • Represent the hotel to guests in the role of executing negotiated group sales agreements including but not limited to room blocks, food and beverage, exhibits and associated products and services. This includes, but is not limited to negotiation of pricing and terms and conditions of products, labor and services not specifically articulated in master agreement. Negotiates service agreements with companies and organizations affiliated with group business. Negotiates vendor partner agreements. Direct guest services via site visits, board meetings, menu testing, and planning meetings for definite and potential groups.

Position Requirements

Qualifications / Special Skills:

  • Minimum of 4 years’ experience leading a Catering and Conference Services department or related professional area needed
  • Degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major preferred
  • Guest service background required
  • Working Delphi knowledge required
  • Previous management experience required
  • Strong communication skills required
  • Ability to prepare, organize, and report data on and generated by computer and sales system
  • Available to work varied shifts when needed, including weekends, holidays, and nights
