Description
  1. Summary of Responsibilities: This position serves as Administrative Specialist 2 for The Center for Calling and Career by providing employer and student assistance, limited research support, office management, budgetary assistance and occasional supervision of student employees. This is a 9-month part-time position, working 25 hours per week during the academic year.

 

  1. Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)
      1. Employer/Student Assistance:
        1. Serves as a central point of liaison with other departments, students, and external constituencies in the resolution of a variety of day-to-day matters. Provides support activities for the department such as answering and responding to phone calls, assisting with and resolving problems and inquiries of students and visitors, handling incoming and outgoing correspondence, along with follow-up communication.
        2. Assists students in setting up appointments with departmental staff.
      2. Administration and Support:
        1. Actively participates in department staff meetings.
        2. Maintains the office calendars. Schedules appointments and meetings as needed.
        3. Handles all details of on-campus recruitment, including scheduling of employers’ visits, confirmation, and advertising to campus community via email & flyers.
        4. Manages work-study (on campus) employment opportunities.
        5. Maintains Career Resources.
        6. Collects information on jobs, internships, and summer opportunities and sends out weekly, formatted email to students with this information.
        7. Acts as primary contact for Handshake, a Career Services platform, ensuring the office stays informed on all new updates and changes in the platform
      3. Research Support:
        1. Researches information, compiles statistics, gathers and computes various data, as needed; prepares special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.
      4. Office Management:
        1. Establishes, updates, and maintains office’s files, inventories, and records; implements and maintains a necessary database and downloads student information as needed.
        2. Orders and maintains office supplies as needed for department’s functions.
        3. Adheres to College policies and procedures to include the maintenance of confidentiality of all processed information.
      5. Budget Support: Assists in the monitoring of the budget
      6. Performs other related duties as assigne

  1. Job Requirements - Administrative: 
    1. General:  Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
    2. Physical: Must be able to perform the following: talking, hearing, and seeing.  Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to: computers, fax machines, copy machines, modems, and telephones.  There will be some walking, standing, bending involved. 
    3. Confidentiality:   Individuals must recognize that management of data, including personal information, grades, budgets, programs and policies is necessary to the operation of the College.  Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws.  Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.
    4. Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.

 

  1. Qualifications:
    1. Minimum:
      1. Education/Certification: High School diploma or GED
      2. Experience: Six months of previous office management/administrative support or demonstrated skills and ability that would equal the same.
      3. Skill/Abilities: Organized with attention to detail. Ability to work in an accurate, efficient, and timely matter. Ability to multi-task and meet deadlines. Communicate effectively, verbally and in writing. Strong computer literacy (word processing, internet, database).
      4. Works well with others, able to prioritize, and able to manage in an atmosphere of frequent interruptions.
      1. Christian Commitment: Eligible candidates must be a thoughtful and articulate Christian and an active member of a Protestant evangelical church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
    1. Preferred:
      1. Education/Certification: Post-Secondary education
      2. Experience: Demonstrated administrative/office-oriented experience in career services and/or human resources
      3. Skill/Abilities: Desire to work with college students
