Description

I. Summary of Responsibilities: Under the oversight of the Director of Student Financial Services, the Financial Aid Coordinator provides financial aid counseling and administrative support duties to facilitate the operation of the Student Financial Services.

This is a 12-month part-time position that will work approximately 20 hours per week.

 

II. Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

A. Customer/Student Assistance:

  1. Serves as a central point of contact with students, parents, other departments and external constituencies in the resolution of a variety of day-to-day matters. Provides support activities for the department such as answering telephones, assisting with and resolving problems and inquiries of students and visitors, reviews, track stamp and distributes incoming and outgoing correspondence, and is responsible for appropriate follow-up communication.
  2. Assists students and parents with understanding all aspects of the financial aid process, including the various types of financial aid, important deadlines, financial aid awards, and questions related to billing; provide advice and counsel regarding eligibility requirements and assist with the completion of the FAFSA application, assisting students and parents in a way that helps them gain a thorough understanding of the process.
  3. Provide Financial Aid counsel for students and families via phone, email, Teams, and in person. Manages Student Financial Services Communications including SFS email account, written communications, telephone inquiries, and Teams communications. Serves as coordinator of all inquiries both electronic and in-person.
  4. Responsible for communication with students regarding award notifications, missing documents, etc., including timely follow-up to students in all programs (TUG, ADP, CUBM, GRAD).
  5. Interacts with appropriate outside entities in order to facilitate the student eligibility process or to conduct the duties associated with an assigned area of specialization.
  6. Participates in the development of institutional financial aid/veterans’ policies and procedures that will positively impact efficiency and quality of service provided.
  7. Performs other related duties as assigned.

B. Systems Support:

  1. Assists with processing student financial aid applications, evaluating financial aid eligibility.
  2. Manage the process of adding/tracking outside Aid, tuition exchange, PAOVR, etc.
  3. Assist with audits, compliance, reporting and data management.
  4. Maintains appropriate database systems and generates reports.
  5. Participates in training and professional organizations to keep abreast of new information and program changes to be implemented.
  6. Process related financial aid documents to facilitate the awarding of scholarships, grants and other institutional, federal and/or state financial aid. Assist in the collection and review of documentation relating to FAFSA verification, financial aid appeals, and other institutional, federal and/or state financial aid programs.
  7. Manage data integration process (PowerFaids) including match records function, updates, batch postings, check/review assigned selections set, and run anticipated aid as needed.

C. Office Management:

  1. Supervision of Federal Work Study Students: Supervise assigned Federal student workers. Interview, hire, train, oversee work performed, and verify hours worked as needed.
  2. Responsible for system integration functions such as ISIR corrections, file organization, phones, batch letters and document tracking, student’s system ‘lock-outs’, coordinate mailings, texts and other communications, and order/maintain office supplies.

IV. Job Requirements - Administrative:

A. General: Individuals must possess the knowledge, skills, and abilities listed or be able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.

B. Physical: Must be able to perform the following: talking, hearing, and seeing. Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to computers, fax machines, copy machines, and telephones.

C. Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws. Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.

D. Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.

 

V. Qualifications:

A. Minimum:

  1. Education/Certification: High School Diploma or GED and a combination of education and experience that demonstrates possession of the requisite knowledge, skills, and abilities.
  2. Experience: Prior work experience in customer service and with computer applications such as Microsoft Word, Access, Outlook and Excel.
  3. Skills/Abilities: Organize with attention to detail. Exchange information clearly and concisely; Communicate effectively, verbally and in writing; Type at a reasonable rate of speed; Obtain knowledge of computer applications and software, as needed; Resolve questions and problems in a professional manner; Work in an accurate, efficient and timely manner; Work with others, prioritize tasks, and manage in an atmosphere of frequent interruptions.
  4. Christian Commitment: Eligible candidates must be a thoughtful and articulate Christian and an active member of a Protestant evangelical church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.

B. Preferred:

1. Education/Certification: Bachelor’s Degree

2. Experience: Two to three years of previous experience in a financial aid or admissions environment.
