Description

JOB SUMMARY:

The Executive Assistant supports three C-Suite Executives with traditional duties (calendaring, travel, meeting minutes, etc.) and also serves as a partner and liaison. There are regular day-to-day administrative tasks, ongoing projects and interruptions that require immediate action. To be successful in this role, the EA will need adaptability, time management and the ability to act independently and proactively on leaders' behalf. Strong writing skills to compose emails, memos and presentations are a must. Stable work history is required.

 

ESSENTIAL FUNCTIONS:
Key Responsibilities of the Executive Assistant include but are not limited to the following:

  • Support three C-Suite Executives with day to day tasks and special projects.
  • Provide back-up assistance to the President and Chief Executive Officer when her Executive Assistant is on PTO.
  • Manage multiple calendars and coordinate executive schedules ensuring. calendars are up to date at all times.
  • Schedule Board Committee meetings, venues, hospitality, manage/create/organize materials and presentations components, reminders & attendance, minutes.
  • Schedule and coordinate individual and group meetings. 
  • Expense report and invoice management.
  • Occasionally arrange travel (flights, hotel, ground transportation), update calendars, compile trip itineraries when necessary.
  • Plan, schedule and coordinate cross-department group meetings led by executives.
  • Prepare communication and proof and edit a wide variety of documents.
  • Other administrative tasks as required.

 

RELATIONSHIPS:

This position reports to the Chief Development Officer, Chief Financial Officer and Chief Program Officer who reports to the President and Chief Executive Officer Development Officer. Critical relationships will include: Executive Assistant to the CEO, Senior Leaders and Board of Directors.

 
Position Requirements

QUALIFICATIONS:

Required:

  • High school diploma or equivalent required.
  • 5+ years of experience supporting senior leaders.
  • High degree of resourcefulness and positive energy required.
  • Strong oral and written communication skills.
  • Proficient computer skills including Microsoft Office Suite (including Word, PowerPoint, Teams and Excel).
  • Ability to adjust work hours as needed.
  • A passionate commitment to the YWCA Minneapolis mission.

Preferred:

  • Associates or Bachelor’s degree preferred but not require.
  • Supervisory experience preferred but not required.
  • Experience with Raiser’s Edge a plus.

 

WORKING CONDITIONS:

  • Must be able to sit for long periods of time at a desk.
  • Must be able to occasionally life and/or move up to 40 lbs.
  • Be able to travel to various YWCA or community sites.

Benefits: Health, Dental, Vision, Disability and Life Insurance, Flexible Spending Accounts, and 403(b) Tax Sheltered Account, as well as, PTO. After two anniversary years (1,000 hours each year) of employment, employees who are eligible will be automatically enrolled in the YWCA Retirement Fund.

Compensation: The pay range for this position is $19.97 - $24.96 (depending on qualifications)
