The Scheduling Coordinator provides clinical support and technical assistance to the professional medical and office staff of Vanguard Eldercare Medical Group (VGE). The primary function of the Scheduling Coordinator is to develop clinician schedules which assure consistent coverage & support to the VGE clinical team, and accurately communicate scheduling to both the clinical team and long term care facilities. The Scheduling & Logistics Coordinator serves as one of the main Corporate Office points of contact, interacting with patients, families and non-VGE professionals in the field at long term care facilities we service (DONs, Directors, RNs, SSDs). This position requires excellent customer service skills with patients, their families, other staff, physicians, vendors, and the public. The ability to accurately manage a demanding workload at a fast pace is also important.

Essential Job Responsibilities:

  • Manage issues, concerns, and questions by outpatient facilities regarding VGE services.
  • Work collaboratively with Regional Directors and department heads to draft monthly schedules.
  • Serves as a main point of contact between facilities and clinicians by transferring messages, reports, etc between facilities and clinicians as necessary.
  • Assist VGE Operations department as needed.
  • Collaborate with Director of Scheduling & Logistics to regularly monitor new patient referrals and facility patient numbers making changes to the schedule as necessary to accommodate significant referral increases/decreases and optimize both outpatient services and clinical production.
  • Work with outpatient managers, operations officers, and corporate recruiter as needed to suggest recruitment needs/facility re-distribution.
  • Pinpoint area(s) in need of coverage and coordinate coverage with department head.
  • Responsible for updating contact database and appropriate personnel with nursing home contact information.
  • Strategize to streamline client communication processes.
  • Report critical issues to clinical management and operations team as needed.
  • Coordinate, complete, and track prior authorization process for all nurse practitioners.
  • Track and save Gradual Dose Reduction forms for all nurse practitioners as they send them in.
  • Coordinate Job Shadowing of prospective clinicians, when assigned.
  • Perform other duties as assigned by supervisor.
Position Requirements
  • Must have Long Term Care/Nursing Home experience (Social Work experience a plus).
  • Experience with patient scheduling, or scheduling complicated calendars (preferred).
  • Excellent customer service skills; proven experience in a customer service role.
  • Be able to work independently and with minimal direction.
  • Extremely detailed oriented.
  • Available for remote work (from home) some nights and weekends. Must have internet connection at home.
  • Possible minimal travel to assist regional managers and client care coordinators onsite at nursing facilities.
  • Dynamic individual with exceptional multi-tasking abilities.
  • Possess excellent customer service, communication (both written and oral) and time management skills.
  • Organized, resourceful, and flexible with work priorities.
  • Strong understanding of MS Office Suite.
  • Comfortable and effectively able to communicate with doctors, nurse practitioners, and clients.
  • Enjoy working in a deadline driven environment.
  • Able to pass background testing, including motor vehicle record review and drug screening.
  • Availability for your own transportation to convey you to the Corporate Office and other facilities, as assigned.
