Job Summary:

Under the direction of the clinic leadership, supports the day to day operations of the back office with direct support as needed, ensuring smooth patient flow. The back office supervisor is to ensure the clinical providers are assisted in the delivery of medical care and, is responsible for planning and coordinating the daily activities of the back office staff ensuring proper coverage in all areas. Supervises all staff performing clinical activities, and provides direct professional back office services when needed. The supervisor is the liaison between the front office and back office, monitoring and implementing processes for best practices. Instructs staff in and promotes an excellent customer service atmosphere for patients.


Reviews office for safety practices, performs safety training, hazard reviews and fire drills to ensure a safe work environment. This position has over sight for OSHA and CLIA compliance as well as monitoring supplies and equipment and training/mentoring staff in all areas of back office operations.


At times this is a working supervisory position requiring the knowledge and applicability of work duties. The position is required to maintain current knowledge of the medical industry, OSHA and leadership skills.


This position is responsible for the supervision of personnel working in collaboration with the clinic manager regarding interviewing and selection of staff, corrective actions, terminations and performance management. This position is responsible to coach, mentor, train and monitor staff to ensure accurate and complete information is gathered from patients and physicians and processed to enable billing functions to be accurate. Other duties as assigned.

Position Requirements

Education, Licenses, Certifications and Experience:

  • Demonstrated ability to read, write and speak English.
  • Demonstrated ability to use a computer with Word and Excel software ability.
  • Licensed RN/LPN or Certified Medical Assistant and approximately three to five years progressively responsible work experience necessary in order to understand nursing requirements.
  • One year supervisory experience performing like duties preferred.


Knowledge, Skills and Abilities:

  • Ability to comprehend and apply basic mathematical concepts and interpret measurements.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to effectively supervise and train staff, including prioritizing, organizing and scheduling work assignments.
  • Ability to interpret and read documents such as safety rules, operating and maintenance instructions, and procedural manuals.
  • Ability to maintain confidentiality and thorough knowledge of HIPAA policies and procedures.
  • Ability to multi-task, prioritize duties, delegate responsibilities and problem solve.
  • Ability to perform general nursing/medical assisting duties efficiently, accurately and safely.
  • Ability to read, analyze and interpret common scientific and technical journals, professional journals, business periodicals, and/or government regulations.
  • Ability to understand residency requirements and effects on scheduling.
  • Ability to use electronic communications and internet resources.
  • Demonstrated strong leadership skills to promote teamwork and excellent customer service practices.
  • Knowledge of business methods including productivity, workload analysis, and scheduling.
  • Knowledge of business principles involved in planning, resource allocation, human resource concepts, operations, policies and procedures.
  • Knowledge of customer service concepts and ability to deal with others in a professional manner.
  • Knowledge of human resource laws.
  • Knowledge of insurance industry and billing practices, ICD-9 and CPT coding.
  • Knowledge of medical terminology, medical office procedures and regulations, medical records and consent laws.
  • Knowledge of OSHA and CLIA policies.
  • Skills for management of personnel resources – motivating, developing and directing people as they work.
  • Skills for using Word, Excel and Outlook and the practice’s data base system.
  • Strong communication skills – listening, verbal and written.
  • Working knowledge of business equipment to include computers, multi-line telephones, fax, copier and medical equipment.
  • Working knowledge of medical database computer programs and basic Microsoft office products.
